Job Summary: The Real Estate Assistant Lease Coordinator's primary responsibilities for this job are to manage lease administration activities and to provide support for the real estate department.
Job Responsibilites
- Support real estate representatives by researching lease agreements, documents and landlord communications to answer questions.
- Receive incoming calls from landlords regarding lease agreements and forward to real estate representatives.
- Input lease agreement terms into Quattro, attach copies and fill out all necessary forms.
- Manage paperwork and system records for renewals, new leases and payment reductions.
- Input landlord payment information into system and review checks to verify correct amounts are being paid to landlords.
- Process all percentage and standard payments (i.e. check run).
- Assist Real Estate Representatives and Real Estate Manager in client relations and logistical support for departmental activities.
- Create, maintain and enter all new lease, panel, lessor/payee information.
- Update and maintain information for leases, panels, structures and Lessor/payees.
- Support in monitoring and tracking Site Lease Expense and Capital expenditures where applicable to market.
- Maintain files containing lease agreements, payment information and contact information.
- Manage, monitor and report monthly on the progress of lease terminations, lease payments, increases and renewals.
- Work closely with the finance department and create monthly reports showing variance between lease payments and budgeted amounts; research any discrepancies and report to finance.
- Receive emails and calls reporting issues with sites (graffiti, bird droppings, etc.) and forward to appropriate group for maintenance.
- Provide reports as requested by real estate representatives or real estate manager.
- Assist Real Estate Representatives and Real Estate Manager in client relations and logistical support for departmental activities.
- Create and distribute monthly reports including lease renewals, new lease activity, takedown/new build report, etc.
- Support in monitoring and tracking Site Lease Expense and Capital expenditures if applicable to market.
- Other duties as assigned or requested.
Job Qualifications Education and Certifications
- Bachelor's degree preferred or equivalent combination of education, training, experience, or military experience.
Work Experience
- Minimum two (2) years of relevant experience, preferably in a related field.
Skills
- Extensive knowledge of real estate principles and practices with an emphasis on field work including lead generation, face to face negotiations, and application of regulations.
- Knowledge of media and advertising industry, business cycles, key revenue, and expense drivers.
- Proficient in Microsoft software applications (i.e., Word, Excel, Outlook, and PowerPoint).
- Able to accurately assess situations, perform root cause analysis, and provide solutions.

Physical Demands The demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job:
- Employee must have the ability to sit and/or stand at a desk for a minimum of 8 hours a day and complete tasks requiring repetitive use of hands.
- Employee must have the ability to see written documents, computer screens and to adjust focus.
- This job is performed in a temperature-controlled office environment.
The Targeted Salary Range for this California State position is $24.00 to $29.00 per hour. Hourly roles are overtime eligible; Operations roles are Productivity Pay eligible. Bonus Eligible Comprehensive Benefits package offerings, which includes:
