The Medical Staff Administrative Assistant provides essential administrative and clerical support to the Medical Staff Office. This role focuses on supporting meetings, maintaining records, and facilitating communication between medical staff and hospital departments.

Job Description

  • Provide administrative assistance to medical staff leadership and the Medical Staff Office team for the region.
  • Prepare and edit correspondence, reports, meeting materials, and memos.Manage calendars, schedule meetings, and coordinate logistics for medical staff events and committees.
  • Organize and attend medical staff meetings and committee sessions.
  • Prepare agendas, take and transcribe minutes, record attendance, and follow up on action items.
  • * Maintain organized confidential meeting book records, and attendance
  • Ensure all documentation is accurate, up to date, and stored in compliance with privacy regulations.
  • Serve as a liaison between medical staff, hospital departments, Clinician Affairs Committees and administration.
  • Respond to inquiries and route messages or issues to appropriate staff members.
  • *Order office supplies, maintain inventory, and coordinate equipment maintenance as needed.
  • Assist with onboarding processes such as scheduling orientations or distributing materials.

QUALIFICATIONS:

  • High school diploma or equivalent required; Associate's degree preferred.
  • 2+ years of administrative experience, preferably in a healthcare setting.
  • Strong organizational, multitasking, and communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to handle confidential information with professionalism and discretion.
  • Familiarity with medical terminology a plus, but not required.
