UCLA Health is seeking a detail-oriented Administrative Assistant to support the executive leadership of the Managed Care Operations team. Reporting directly to the Director of Managed Care Operations, this role plays a key part in ensuring the efficiency and effectiveness of daily departmental operations, including Claims, Configuration, Provider Relations, Member Services, Quality Management, Credentialing, and Compliance. The Administrative Assistant will coordinate high-level schedules, facilitate meetings, manage sensitive documentation, and serve as a liaison between internal departments and external partners. This role demands strong independent judgment, discretion, and the ability to manage a fast-paced workload while supporting strategic initiatives and process improvements. In this role, you will:
- Manage
complex calendars and prepare meeting materials for executive leadership - Coordinate
and facilitate internal/external meetings, anticipating needs, attending meetings, preparing minutes, and managing expectations - Independently
compose business correspondence, agendas, and reports ensuring efficiency with security and controls - Work
collaboratively with stakeholders assisting with special projects, process improvement efforts, and data analysis - Interface
with internal departments and external stakeholders to resolve issues and manage communications - Demonstrates
initiative and pursues opportunities for improving departmental functioning - Address
unexpected issues by analyzing the situation and developing effective solutions - Provide
onboarding support, office logistics, and maintain team records and distribution lists - Serve
as the key administrative resource for Managed Care leadership and their direct reports - Prepare
necessary travel, when necessary
Salary Range: $29.42 - $42.14 hourly
Qualifications
We're looking for a proactive and organized administrative professional with:
- High
school diploma and/or equivalent experience - Minimum of 3-5 years of demonstrated experience supporting administrative
functions at the executive level in a fast-paced organization, required - Effective
communication and interpersonal skills to interface with department leaders, medical staff, and internal/external partners - Technical
proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and web applications - Some
experience with EHR systems are helpful but not required - Strong
organizational skills and the ability to manage fluctuating priorities and deadlines - Familiarity
with medical terminology and experience supporting healthcare operations - Writing
and editing skills to prepare accurate business correspondence and reports - Ability
to work independently with minimal supervision and handle confidential materials with discretion - Strong
problem-solving, critical thinking, and project coordination capabilities - Commitment
to delivering exceptional service and supporting a collaborative team environment
