Overview

The responsibilities of this position include ensuring that Trustmark's records inventory policies and procedures are managed in compliance with legal and regulatory requirements. This position will collaborate with business units to develop strategies that support ongoing compliance with both new and existing regulations related to records storage and maintenance. This position will also support various functions within the Mail Distribution department.



Responsibilities

    Establish/maintain/update record retention schedules, policies, procedures, and manuals as required. This will include on-site and off-site stored records.
  • Assist users in the application and implementation of record retention policies and procedures.
  • Serve as primary point of contact for record retention issues.
  • Administer day-to-day coordination of retrieval and disposition of off-site records. This will include preparation, entering data, indexing retrieval, returns and destruction records.
  • Prepare and distribute scheduled reports as required.
  • Maintain working relationship with 3rd party retention facility. Conduct regular visits to off-site facilities to ensure adherence to procedures.
  • Serve as administrator for any 3rd party application used in the management of stored records.
  • Retrieve returned bank statements from the mail room daily and process them according to established procedures.
  • Train new users on record retention policies and procedures as required.
  • Process monthly invoices from outside vendors.
  • Perform other duties as assigned.


Qualifications

Required:

  • High school education or equivalent required.
  • Minimum of 6 months of full-time work experience
  • Proven ability to work successfully in a team environment
  • Effective decision-making skills.
  • Strong verbal and written communications skills
  • Good customer service skills
  • Time management skills with the ability to prioritize workload.
  • Basic computer knowledge (Word, Excel, core banking system)
  • Valid driver's license (MVR required)

Physical Requirements/Working Conditions: Must be able to sit for long periods of time and use computer keyboard and/or mouse, while viewing computer screens.
