About the Job

The University of Minnesota Press seeks an organized individual to work in a busy book publishing business office. This position provides administrative support to U Press staff. The ideal candidate will be detail oriented and is able to do repetitive tasks; self-directed (after training) and able to work well on their own, without having to always be told what to do; and will be proactive and will ask for additional work during slower periods.

General Responsibilities: Support the work of the University Press business team. Data entry and document scanning / compiling PDFs to pay invoices. Using Excel, compile data to prepare the data for upload and data entry. Update database records, scan contracts, royalty statements, and other documents. Update and maintain Google Sheets. Work with Adobe Acrobat to merge or split up PDFs.

This position will pay $18 per hour, and the ideal candidate will be available to work at least 12 hours a week.

Job duties include:

DOCUMENT PROCESSING (30%): Assist with processing invoices for payment, including looking up supplier IDs, compiling PDFs and emailing to the RIO Finance Cluster. Attach documents to database records and file on the Press server.

ADMINISTRATIVE SUPPORT (35%): Assist with supplier maintenance, including completing set up forms, requesting required documentation from suppliers, and emailing as directed to the UMN Controller team. Work with royalty statements and file on the server.

OFFICE SUPPORT/SPECIAL PROJECTS (35%): Update database records. Assist with annual royalty statement processing. Create royalty terms worksheets for data entry. Format sales reports for upload. Filing as needed.

Other projects as assigned.

Qualifications

Required Qualifications: HS degree or equivalent

Preferred Selection Criteria
* Familiarity with Microsoft Office (Excel, Word) and Google Drive
* Strong organizational skills
* Attention to detail and accuracy of data entry
* Thoroughness and proactive with follow-up
* Timeliness in performing work and attention to deadlines
* Strong written communication skills

Pay and Benefits

Pay Range: $18.00/hour depending on education/qualifications/experience.
