Job Description

The Senior Administrative Assistant provides advanced administrative and business support to the department and reports directly to the department's lead admin. This individual plays a key role in ensuring the efficiency and effectiveness of daily operations through proactive support and close collaboration with the lead admin.

Key Duties and Responsibilities:

  • Manage calendar, including scheduling internal and external meetings, prioritizing appointments, securing conference rooms, ordering catering, and providing logistical and administrative support on the day of meetings.
  • Act as a departmental resource for Vertex's internal systems and tools (e.g., Procurement, SharePoint, Concur, Vertex U, VLearn, etc.).
  • Compile and integrate information from various stakeholders into departmental reports.
  • Assist with travel arrangements, including booking flights and accommodations, submitting expense reports, and organizing team lunches, dinners, and off-site meetings.
  • Assist with requests for appointments, emails, and phone calls based on established departmental procedures.
  • Process purchase orders, invoices, and contracts on behalf of the group.
  • Assist with visitor registration, including pre-registering guests and providing escort services.
  • Assist with daily office operations, including inventory control of office supplies and coordination with IT, Operations, and Facilities teams to maintain computers, phones, and office equipment.
  • Maintain a positive and professional work environment for employees and visitors.
  • Maintain professional relationships with local office service providers (e.g., cleaning services, couriers, equipment technicians, and mail/shipping vendors).
  • Operate with a high level of discretion and professionalism to maintain the confidentiality of sensitive Vertex initiatives.

Knowledge and Skills:

  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills with the ability to prioritize tasks and handle multiple assignments simultaneously.
  • High attention to detail and accuracy.
  • Proven discretion and professionalism when managing confidential information.

Education and Experience:

  • High school diploma or equivalent required.
  • Minimum of 2 years of administrative experience, or an equivalent combination of education and experience.

Pay Range:

$38 - $58

Disclosure Statement:

The range provided is based on what we believe is a reasonable estimate for the base salary pay range for this job at the time of posting. This role is eligible for an annual bonus and annual equity awards. Some roles may also be eligible for overtime pay, in accordance with federal and state requirements. Actual base salary pay will be based on a number of factors, including skills, competencies, experience, and other job-related factors permitted by law.

In this Hybrid-Eligible role, you can choose to be designated as:
1. Hybrid: work remotely up to two days per week; or select
2. On-Site: work five days per week on-site with ad hoc flexibility.
