We are looking for an Executive Administrative Assistant to provide high-level administrative support to the President and other key executives within the company. This role involves managing complex calendars, coordinating meetings and travel, handling confidential information, and acting as a liaison between executives and internal/external stakeholders. The ideal candidate is detail-oriented, proactive, and possesses excellent communication and organizational skills.

Key Responsibilities

  • Calendar Management: Efficiently manage and coordinate the President's and other senior executive schedules, ensuring timely appointments and meetings.
  • Meeting Coordination: Organize and facilitate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
  • Travel Arrangements: Plan and book domestic and international travel, including flights, accommodations, and itineraries, ensuring compliance with company policies.
  • Communication Liaison: Serve as the primary point of contact between executives and internal/external stakeholders, ensuring clear and professional communication.
  • Document Preparation: Draft, review, and manage various documents, including emails, presentations, and reports, ensuring accuracy and clarity.
  • Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
  • Office Operations: Assist in coordinating office operations, including procurement of necessary equipment, vendor management, and logistics support.
  • Project Support: Support special projects and initiatives as assigned by the executive team, ensuring timely completion and alignment with company objectives.

Qualifications & Skills

  • Bachelor's degree preferred
  • Minimum of 3-5 years of experience providing executive-level administrative support
  • Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with virtual meeting platforms and other office software.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with all levels of the organization.
  • Organizational Skills: Strong organizational and time-management abilities, with a keen attention to detail.
  • Problem-Solving: Demonstrated ability to anticipate needs, think critically, and offer solutions to problems.
  • Adaptability: Ability to work in a fast-paced environment, managing multiple priorities and adapting to changing demands.
  • Professionalism: High level of integrity and professionalism, with a commitment to maintaining confidentiality.
  • Occasionally work outside regular business hours to meet deadlines or support executive activities.

The estimated base salary range for the position is $35.00 - $40.00 per hour. The pay offered is based on many factors including, but not limited to, relevant education, job-related experience, skills and level of the position.
