Providence Place, a Lifespark Skilled Nursing Community, is looking for dedicated and passionate Business Office Assistant to join our growing team. Providence Place is conveniently located on the bus route, located in southern Minneapolis in the Standish Ericcson neighborhood. Here we provide services for our seniors in a TCU (Transitional Care Unit) Care, Long-Term Care and Memory Care. We have been helping seniors Age Magnificently for over 25 years and are part of Senior Care Communities, a local non-profit supporting senior.
Shifts Available: Full-Time Monday-Friday Wage: $22-$26 wage is based on experience Are you compassionate towards others? Are you passionate about enriching the lives of others? Our Administrative Assistant becomes family and impacts the lives of our residents who live in a Lifespark Senior Living Community. In this position, you will be responsible for managing Medical Assistance residents, required forms and reporting, and general administration of applications and processes. Also responsible for overall communication and management of applying and renewal of Medical Assistance, weekly updates, and general administration support for facility team. Duties include:
- Coordinate and verify all admission paperwork and ensure proper documentation is submitted to the county for Medical Assistance-qualified residents.
- Maintain and update resident data in applicable EHR systems; regularly review the facility roster to ensure Medical Assistance status is accurate.
- Analyze, complete, and submit Medical Assistance and General Residential Housing renewal applications; assist residents and responsible parties with related documentation and program education.
- Serve as a liaison between case managers, nursing staff, and external agencies regarding CL tools and benefits coordination.
- Support rep payee setup and attestation processes; manage resident trust accounts, fund delivery, and reconciliation.
- Monitor and communicate Medical Assistance pending statuses; follow up on required documentation and aging accounts.
- Communicate with state and county offices, billing specialists, and vendors regarding payments, claims, and payer issues.
- Write checks for resident expenses from the facility's PNC checkbook.
- Scan, file, and distribute faxes including VA authorizations, consultant sheets, remits, and insurance claim forms.
- Oversee organization and integrity of facility documentation, support payables reconciliation and reporting.
- Prepare and submit reports, including collection notes and aging summaries, by required deadlines.
- Demonstrate adaptability, prioritization, and organizational skills to meet workload demands.
- Uphold customer service standards, resident rights, and safety protocols.
- Participate in quality improvement initiatives, meetings, and mandatory in-services.
- Maintain compliance with facility policies, disaster preparedness plans, and health regulations.
- Perform other duties as assigned.
Preferred Qualifications:
- Previous experience in Skilled Nursing Billing
- Ability to read, write and verbally communicate clearly and confidently
- Must possess advanced computer skills.
- Excellent customer service skills including a friendly, courteous, and positive attitude
- Strong organizational and time management skills
- Ability to maintain confidentiality
- Must be capable of handling money and make change
- Ability to work under minimal supervision, self-directed
