uams.edu/development Summary of Job Duties:This role supports the financial administration of foundation and institutional advancement operations by analyzing general ledger data, producing divisional financial reports, and coordinating accounting activities. Responsibilities include monitoring foundation deposits, reconciling accounts, ensuring compliance with donor intent, and overseeing the setup and maintenance of foundation accounts. The position serves as a campus-wide resource on foundation policies, donor documentation, and financial processes, while also managing the Institutional Advancement budget, preparing financial reports, and conducting training sessions to promote compliance, accuracy, and best practices. Proficiency in Workday financial processes and a strong understanding of fundraising-related financial administration are essential. Qualifications:
  • Bachelor's Degree in Accounting, Finance, Math, or related field plus five years of general ledger, financial management experience preferably in a healthcare setting.

  • Strong analytical skills and financial reporting required.
  • Excellent time management, problem solving, and interpersonal and communications skills.

Additional Information:

KEY RESPONSIBILITIES:

Reporting & Analysis - 25%

* Provide analysis and reports on general ledger information in the Blackbaud Foundation ledger system. Produce divisional financial reports from Workday data.

Foundation Fund Administration - 20%
* Responsible for coordinating accounting activities and administration of UAMS Foundation Fund accounts. This includes detailed oversight of foundation payments for the entire UAMS campus ensuring the donor intent is met.
* Monitor foundation deposits, donor documentation, set up of new foundation accounts, adherence to the foundation policies and regulations. This also includes monitoring, account reconciliations, and transfer of funds between foundation accounts.
* Monitoring of net asset class of foundation accounts.
Foundation Funds Tracking & Administration and Workday - 20%
* Provide detailed review of foundation payments in the FFTA (Foundation Funds Tracking and Administration) and Workday systems.
* Provide the entire campus direction on foundation payments and donor intent of foundation funds.
* Assist in the coordination and teaching of a bi-annual Foundation system training class.

Institutional Advancement & Campus Resource - 10%
* Responsible for providing overall assistance to the campus by serving as a resource for foundation administration functions.
* Serve as a resource for the directors of development and other Institutional Advancement staff concerning processes, guidelines and policies relating to donor intent and documentation requirements, new foundation accounts, establishment of endowments, and other matters relating to fundraising and development.
* Contribute to Existing structure which supports accuracy, best practices, compliance, ethics, and education for Institutional Advancement.
* Stay up to date and knowledgeable about the policies of UAMS, the UA Board of Trustees, and the UA Foundation applicable to the role of Institutional Advancement.
* Provide continuing education and regular communications to the campus to insure compliance with donor intent in spending foundation funds.
* Work closely and in consultation with the Senior Executive Director for Foundation Administration and other Institutional Advancement staff in carrying out these duties.

UAMS Finance - 15%
* Perform Workday processes including preparation of budget documents, miscellaneous invoicing, procurement, IDTs, and custom reporting.
* Responsible for development of the Institutional Advancement budget in coordination with the Senior Executive Director.
* Manage and analyze Institutional Advancement division monthly budget to expense variances.
* Coordinate budget to actual expense reports with the Development Officers.
* Analyze and review the monthly staff benefits report. Other duties as assigned.
