Your Role:

As the Farm Recruiting Support Administrator, you will serve as the administrative engine behind our farm expansion efforts - supporting both the recruiting and construction coordination teams. From document management and scheduling to CRM updates and contract workflows, your work will keep our recruiting pipeline running smoothly and our prospective farmer relationships on solid ground. You'll bring structure, follow-through, and service-minded support to a fast-paced team working to grow our mission-driven network.

You'll also play a quiet but critical role in ensuring our farmers feel supported from first contact through renewal. By keeping our systems accurate, our communication timely, and our processes smooth, you'll help set the stage for a strong, ongoing relationship between our farmers and Vital Farms.

What You'll Do:

Support Recruiting Operations



  • Prepare, send, and track contract documents via DocuSign
  • Maintain and organize farmer records and documents across systems
  • Schedule calls, meetings, and travel for recruiters and coordinators
  • Support the Lead Generation Specialist by managing lead intake, CRM updates, and task tracking in Microsoft Dynamics CRM
  • Coordinate recruitment events, mailers, and communications


Ensure Process Consistency



  • Manage and update documentation templates and recruiting assets to ensure teams use the most current versions
  • Audit contract and onboarding materials for completeness
  • Build and maintain internal checklists and workflows to improve coordination
  • Support clean handoffs across recruiting, construction management, pullet operations, and farm support by maintaining reliable documentation


Support Construction Coordination



  • Track submission of required documents and photos from farmers
  • Track and maintain submitted construction cost documentation from farmers
  • Monitor deadlines and follow up with stakeholders to maintain progress
  • Create and maintain shared folders, naming conventions, and templates
  • Assist with scheduling site visits, inspections, and milestone check-ins


Be a Team Anchor



  • Proactively look for ways to streamline or remove roadblocks for the team
  • Communicate clearly and professionally across multiple internal teams
  • Keep the team organized, aligned, and informed
  • Help identify and reduce friction in our farmer recruitment journeys, ensuring a top-tier experience every time


What You Bring to the Table:



  • Associate's or Bachelor's degree required in one of the following fields: Business Administration, Agribusiness, Office Administration, Agricultural Sciences, Communications, or a related field
  • At least 2 years of experience in administrative coordination, team support, or operations required - experience supporting remote teams is a plus
  • Candidates located in Central, Eastern or Mountain time zones preferred
  • Equivalent professional experience in administrative support, recruiting coordination, or agriculture operations may be considered in lieu of a degree
  • Strong organizational skills with keen attention to detail and follow-through
  • Proficiency with Microsoft Office Suite and Microsoft Dynamics (or equivalent CRM)
  • Experience using or supporting DocuSign or other e-signature tools is a plus
  • You recognize that timely support, good records, and smooth systems create lasting farmer partnerships

At Vital Farms, compensation decisions are dependent upon a variety of factors, which may include, but are not limited to, skill level, experience, education, training, market demands, and business needs. A reasonable estimate of the current starting hourly wage for this position is $23 - $25 per hour. Please keep in mind that hiring at the maximum end of the range would not be typical in order to allow for potential continued future salary growth.
