Description

Position: Administrative Assistant - Employment Services

Department: Mission Services

Reports to: Director of Resource and Quality Assurance

Status: Non-Exempt

Summary

To provide administrative support to the Mission Services division to ensure that internal and external customer compliance and satisfaction measures are met. To receive, process, and counsel referrals.

Duties and Responsibilities



  • Develops working knowledge of Mission Services policies, procedures and CARF standards. Ensure all CARF standards are implemented and maintained across Employment Services. Serve as the expert in all accreditation requirements, advises on changes to policies and procedures as necessary for the division. Works closely with staff to ensure all standards are implemented and maintained. Responsible for the maintenance of client records.
  • Knowledge of Efforts to Outcomes (ETO) software from ground level. Trains/assists employees in entering client service records. Enters/updates client demographics and employment records into ETO as needed. Runs ETO reports (case notes) for monthly billing.
  • Develop/maintain spreadsheets to track data for monthly billing. Maintain and submit monthly funder's reports; track referrals, intake, assessment, job development, job retentions, etc. Request and track authorizations from funders.
  • Review, and respond to Goodwill Keystone Area's aged receivable report. Contact aged funders to clear outstanding balances and receive payments. Works with other members of the Resource and Quality Assurance team to complete quarterly file and compliance audits.
  • Conducts certified investigations, participates in quarterly peer review and assists in ensuring that all incident management requirements are met throughout the agency.
  • Receive and screen referrals to confirm the candidacy and assignability using. Provide initial counseling session regarding program benefits, and begins to complete and assess the plan during counseling session, if applicable.
  • Collects, maintains, and prepares client payroll hours. Runs payroll validation report and communicates issues and concerns directly with the payroll department.
  • Monitors and tracks staff training hours to ensure all requirements are met to meet internal and external compliance regulations including but not limited to CARF, OSHA and Office of Developmental Programs.
  • Assists Director of Resource and Quality Assurance, Services Director, and the program staff as needed.
  • Promotes an environment of workplace safety by training and informing others regarding safety standards/precautions. Monitors safety and takes corrective action. Assures that regulatory safety requirements are adhered to.
  • Communicates progress, problems, and concerns to the VP of Director of Resource and Quality Assurance and Services Director.


Qualifications

Education and Experience



  • Bachelor's degree in Human Services, Business or related field; or Associates degree in Human Services, Business or related field with two (2) years' experience in the relevant field; or HSD/GED and four (4) years' relevant experience which enables the individual to meet the standards and expectations of the position.


Skills/Abilities/Qualifications



  • Ability to pass state certifications in Incident Management and Quality Management.
  • Working knowledge of databases and Microsoft software applications.
  • Excellent written and verbal communication skills.
  • Must have above average analytical and problem-solving skills.
  • Must present self in a professional manner.
  • Ability to work maturely with confidential information.
  • Ability to work flexible schedule as necessary.
  • Must complete and successfully pass Criminal Record check, Child Abuse Clearance, FBI Clearance and Low Risk Federal Background Check.
