YOU

We are seeking a reliable and personable Receptionist/Administrative Assistant who will also support the Training and Human Resources Department. This role will provide front desk support while also assisting with a variety of administrative tasks including scheduling meetings, booking conference rooms, coordinating catering, and supporting the HR and Training teams in day-to-day functions.

WHAT YOU'LL BE DOING(% of time)

Operate the telephone system, answer, screen, and direct incoming calls, take and relay messages as needed; greet visitors and direct them appropriately, distribute incoming and outgoing mail and deliveries. (25%)

Assist Training and Human Resources with administrative tasks as assigned. (25%)

Responsible for drafting communications, creating flyers, posters and maintaining logs and forms. (20%)

Administration and booking of meeting rooms, catering for region and lodging. (15%)

Assist in preparing Training and HR materials, packets, and rosters. (10%)

Other projects and responsibilities as assigned. (5%)

DESIRED SKILLS AND EXPERIENCE

If you can do everything listed above, you've got what it takes. Perhaps some of the following would be helpful too:

  • High school diploma or equivalent required; associate degree or some college preferred.
  • Minimum of one year of customer service or related experience required.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Smartsheets.
  • Strong Written & Verbal Communication: Effectively communicates using language that is clear, professional, and tailored to the audience, context, and objective.
  • Proactive: Demonstrates a proactive mindset and a strong sense of ownership in work. With a solution-oriented approach and a positive outlook, takes on challenges and adapts quickly to changing priorities.
  • Initiative: Shows initiative and commitment to results reflect a professional, can-do attitude that positively impacts the team and supports overall business success.
  • Tasks: Ability to manage multiple tasks and set priorities to achieve maximum productivity.
  • Attention to Detail: Ability to diligently attend to details and pursue quality in accomplishing tasks.
  • Accountability & Dependability: Able to consistently demonstrate reliable, punctual attendance.
  • Customer Focus: Ability to build and maintain customer satisfaction; friendly, professional, customer-service oriented demeanor.
  • Professionalism: Ability to handle interactions with customers, visitors, and employees in a professional manner at all times.
  • Organization: Strong organizational skills are required to keep tasks in order and submitted timely.

PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee is frequently required to sit, talk, and hear, and sometimes walk and stand. While performing the duties of this job, the employee may occasionally push or lift up to 25 lbs.

WORK ENVIRONMENT

This job operates in a professional office environment where standard office equipment such as computers, phones, printers/scanners, etc. are frequently used.

TRAVEL REQUIRED

This job does not require travel.

WORK STATUS & LOCATION

This full-time, non-exempt position is located in Riverside, CA

RELOCATION

Relocation is not available for this position.

Pay

$18.56- $26.00 / Hourly
