Overview
The Kinesiology and Health Science Department (KHS) at Utah State University (USU) is seeking to hire a qualified and motivated Lifetime Activity Program Assistant (Program Assistant II) to provide vital administrative support for the Lifetime Activity Program (LAP) and assist with broader departmental operations. This role requires strong organizational skills, attention to detail, and the ability to manage multiple administrative tasks in a dynamic, student-centered environment.

The LAP is a well-established program offering over 68 different one-credit physical activity courses each semester to promote lifelong wellness and physical fitness among students. Serving up to 5,000 USU students per semester, the program supports the development of physical, social, and emotional well-being and is a foundational part of the department's mission to enhance student health and wellness through active living.

Under the direction of the LAP Director, this position will assist with instructor coordination, student communication, program logistics, enrollment tracking, and recruitment and marketing efforts specific to the LAP. The assistant will also support department-wide operations by coordinating academic course scheduling, managing course evaluations, and serving as the front desk contact for students, faculty, and visitors, under the guidance of a senior staff member in the department.

This is a part-time (30 hours/week), non-exempt, benefits-eligible position that is fully in-person; remote or hybrid work arrangements are not available for this role.

Responsibilities
  • Act as an assistant to the LAP Director.
    • Serve as the primary administrative support for LAP.
    • Coordinate and organize training and onboarding for LAP instructors in coordination with the LAP Director.
    • Maintain up-to-date contact information and CVs/resumes for LAP instructors.
    • Process student waiver forms into Canvas for LAP activity courses.
    • Support LAP program recruitment and marketing by coordinating materials, providing website updates, and collaborating with the LAP Director to develop a marketing plan.
    • Monitor enrollment data and analytics, preparing basic reports as needed.
    • Coordinate and schedule LAP-related meetings and communications.
    • Assist with ordering, distributing, and maintaining equipment, supplies, and inventory for LAP.
    • Oversee submission of LAP activity course updates to the USU Catalog via Curriculog or CourseDog, as directed by the LAP Director.
    • Ensure program compliance with department and university policies in collaboration with the LAP Director.
  • Coordinate scheduling of all department academic courses.
    • Coordinate with program Directors, faculty, and instructors to review and submit the academic course schedule each semester, ensuring all departmental courses are accurately built and submitted by the deadline.
    • Collect course syllabi from instructors and save them within department files.
  • Ensure course evaluations are properly set up within USU's IDEA system for timely and accurate distribution to students.
    • Serve as a liaison between the bookstore and the department.
  • Provide department support and assistance.
    • Serve as the primary front desk contact for the department, providing in-person, phone, and email support to students, instructors, and visitors. Responsibilities include answering and directing calls, data entry, and other administrative tasks as assigned.
    • Maintain and regularly update email lists for department instructor listservs.
  • Other duties as assigned


Qualifications
Minimum Qualifications:
  • Two years of comparable experience or an associate's degree.

Preferred Qualifications:
  • Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
  • Familiar with standard office equipment, including printers, scanners, and copiers.
  • Working knowledge of student information systems such as Banner, Argos, or Access.
  • Experience providing customer service or student support within a higher education setting.
  • General knowledge of or experience with digital media tools, such as Adobe Creative Suite or equivalent.

Knowledge, Skills, and Abilities:

  • Ability to make routine decisions.
  • Skilled in creative problem solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Ability to coordinate and organize meetings and/or special events.
  • Records maintenance skills.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Database management skills.
  • Basic computer skills.
  • Ability to create, compose, and edit written materials.
  • Knowledge of communication principles, media, and marketing techniques.
  • Ability to handle sensitive and confidential business data and personal information.
  • Knowledge of University policies and procedures.
  • Ability to take initiative and work without close supervision.
