How You'll Perform the Role

We are seeking to add a highly organized and proactive Executive Assistant to provide comprehensive support to a team of executives. The incumbent will be responsible for managing daily administrative tasks, coordinating complex schedules, facilitating communication, and ensuring the executives supported can focus on strategic priorities. This role requires exceptional multitasking abilities, a high level of discretion, and the capability to work in a fast-paced environment.

You will report the Chief Human Resources Officer and also support our Chief Operating Officer. This positions offers the opportunity to work closely with senior leadership and play a key role in the success of the organization.

Key Responsibilities



  • Calendar Management: Efficiently manage and coordinate executives' calendars, including scheduling meetings, appointments, and travel arrangements. Anticipate conflicts and adjust as needed.
  • Communication Liaison: Serve as a point of contact between the executives and internal/external stakeholders. Handle phone calls, emails, and other communication promptly and professionally.
  • Meeting Coordination: Prepare for and coordinate meetings, including agenda creation, document preparation, and meeting minutes.
  • Travel Arrangements: Arrange and manage domestic and international travel plans, including flights, accommodations, transportation, and itineraries. Handle last-minute changes and ensure all travel-related documents are in order.
  • Expense Management: Track and reconcile executives' expenses, prepare expense reports, and ensure compliance with company policies.
  • Document Management: Organize and maintain important documents, files, and records. Ensure confidentiality and security of sensitive information.
  • Project Assistance: Support executives in managing special projects, including research, data analysis, and report preparation. Collaborate with other departments as needed.
  • Event Planning: Assist in planning and coordinating events, meetings, and conferences, ensuring all logistical details are handled efficiently.
  • Office Management: Assist with the smooth operation of the Charlotte, NC office, including assisting the team with managing office supplies, coordinating with vendors, and ensuring a professional work environment.
  • Provide additional administrative support as needed, including personal tasks for executives, if required.


What We Need From You

Critical Skills & Qualifications



  • Bachelor's degree in Business Administration, Communications, or a related field; or, in-lieu-of an equivalent combination of education and additional, related work experience
  • 5+ years' experience in an executive administrative role, preferable supporting multiple executives
  • Strong proficiency in the Microsoft Office Suite (Outlook, Excel, PowerPoint, and Word)
  • Experience managing executives' calendars and travel management
  • Exceptional verbal and written communication skills
  • Strong interpersonal skills, with the ability to work well independently and as part of a team
  • Strong organizational and time management skills
  • Ability to prioritize tasks and manage multiple priorities and deadlines effectively
  • Ability to interact with executives and external partners with professionalism and discretion
  • Demonstrated ability to handle confidential information with utmost discretion
  • Proactive problem-solving abilities and a keen attention to detail
  • Ability to anticipate needs and take initiative
  • Ability to adapt to changing priorities and handle unexpected situations with ease
