Position Summary

Oceaneering is seeking a reliable and detail-oriented Accounting Clerk to join our accounting team. In this role, you will assist with general accounting tasks such as processing accounts payable (AP) and accounts receivable (AR), handling invoices, preparing journal entries, and supporting various accounting functions.

KEY DETAILS:

  • Approximate Work Schedule: Monday to Friday, 8:00 AM - 4:30 PM (30-minute or 1-hour lunch).
  • This is an in-office position working from our office located in Chesapeake, VA.
  • Experience: 2+ years of AP experience preferred, with familiarity with chart of accounts and intermediate to advanced Excel skills (pivot tables).
  • ERP Transition: You will join the team during our migration from Oracle PeopleSoft to Deltek Costpoint, so adaptability to new systems and processes is key.

SCOPE

This role requires strong attention to detail, organizational skills, and effective communication within the team. The Accounting Clerk will work under the guidance of the Accounting Manager, performing daily, weekly, and monthly accounting functions. The position supports various accounting operations while ensuring accuracy and compliance with company policies and procedures.

KEY RESPONSIBILITIES:

  • AP/AR Processing: Review, code, approve, and forward 50-100 invoices daily, manage problem invoices, and liaise with the Morgan City team.
  • Accounting Support: Prepare journal entries, assist with employee expense reports, and maintain filing systems.
  • Coordination: Collaborate with purchasing groups, review expense reports, and support audits or reporting requirements.
  • Excel Usage: Download queries and create pivot tables for reporting purposes.
  • Training & Support: Comprehensive onboarding and continuous support to ensure success in the role.

WHAT TO EXPECT:

  • Primarily focused on AP tasks (90%), with additional responsibilities in filing and other accounting functions (10%).
  • Opportunity for additional duties or special projects as assigned by senior management.

Duties And Responsibilities

ESSENTIAL

  • Scan and file accounting documents in accordance with record retention guidelines.
  • Audit and process expense reports.
  • Reconcile employee advance accounts.
  • Prepare and process account payable invoices and purchase order payments.
  • Perform weekly Time & Labor Administrator responsibilities (all aspects).
  • Prepare journal entries.
  • Accounts Receivable (collection calls, invoice entry, AR tracking)
  • File and maintain accounting records and other clerical reports related to the accounting operation
  • Daily interfacing and communication with vendors, ADTECH employees or other Oceaneering employees outside ADTECH
  • Understand and assist with the Match Exception and RNV reports/account reconciliations (all aspects)
  • Understand and comply with accounting policies and procedures (SOX, Gov't Business Systems, corporate and local process/policies/process instructions)

ADDITIONAL

  • Additional duties as assigned.
  • There will be occasions where the Accounting Clerk may perform special projects or duties as required by the Sr. Management of Oceaneering

Qualifications

REQUIRED

  • High school diploma or equivalent.
  • Minimum two - four years of experience in an accounting environment.
  • Must understand chart of accounts and basic Accounting Principles.
  • Working knowledge of acceptable office procedures.
  • Familiarity with basic accounting procedures.
  • Must possess good written and verbal communication skills with the ability to successfully interact with all levels within the company.
  • Proficiency with Microsoft Suite, especially, Word, Excel, PowerPoint, and accounting software (Experience with Oracle PeopleSoft and/ or Deltek Costpoint is a plus).
  • Proficiency as an intermediate to advanced level user of Microsoft Excel, particularly adept with pivot tables.
  • U.S. citizenship is a requirement, and the applicant cannot hold dual citizenship with any other country.
