About the Job

This position is represented by AFSCME Unit 6 - Clerical; bargaining unit consideration begins on June 20, 2025 and ends on June 27, 2025.

The individual is expected to gain expertise in the office services and University procedures needed for the Office for Equity and Diversity and its units to run smoothly. This position is 100% in-office, Monday through Friday, with typical schedule of 8:00am - 4:30pm. Overtime and consecutive Sunday work are not conditions of employment. Occasional events may fall outside of the standard working hours, and those are required to attend (schedule will be adjusted these weeks).

Job Duties

20% - Administrative Support

  • Serve as departmental information source; answer and triage phone calls; greet and interact with visitors, staff and faculty in pleasant and professional manner; handle incoming and outgoing email messages, mail and deliveries.
  • Provide administrative support for office leadership as needed, including scheduling of appointments, planning/coordinating meetings, reserving rooms and notifications.
  • Assist in the development of office processes and procedures related to areas within scope of job duties.
  • Provide back-up coverage and support for other staff members and office programming as needed.
  • Assist with travel arrangements for staff and visitors ensuring all required forms are correctly completed and submitted.
  • Assist in supporting department events through the coordination of space, hotel contracts, equipment, catering, and other logistics.
  • Perform other general office duties and projects as assigned

45% - Project Support

  • Establish strategic annual event and project plans, work goals, and timelines for all major initiatives, awards, and events in collaboration with the OED events and administrative team
  • Create and adhere to timelines and plans for major projects
  • Create event charters and summaries for OED signature events (i.e., The Equity and Diversity Breakfast, Campus Climate Summit)
  • Create reports based on data from the Campus Climate Survey and other information that informs the work of the office.
  • Serve as Administrative Support for Diversity Community of Practice (DCoP) and other committees associated with OED's mission and institutional priorities:
    • Manage member rosters, Google group, intranet, and webpage
    • Coordinate space for recurring DCoP committee meetings (Assessment Committee, Communications Committee, Programming Committee, and Policy Review Committee) and the DCoP full community meetings.
    • Manage arrangements and details of planning and executing the DCoP Diversity Data Deep Dive semi-annual all-day workshops
  • Serve as Administrative support for affinity groups and other OED task force and workgroups
  • Assist in coordination for IDEA and PPFP events and awards
    • Provide administrative support as needed

10% - Office Support

  • Serve as website content editor for OED and DCoP, backup for all other OED website pages, including videos, links, photos and text
  • Assist OED directors and Morril Hall leaders with general requests as needed

25% - Budget Support

  • Provide support for department purchases using U Purchasing Card, reconciling purchases in a timely manner.
  • Support Faculty and Staff Associations - working with various staff members across the campus
  • Support the Office Administration team with various recurring budget projects and tracking
  • Serve as an OED ChromeRiver Navigator:
    • Main point of contact for questions or issues
Qualifications

Required Qualifications

  • High school diploma/GED and at least four years of experience.
  • Excellent organizational and problem solving skills
  • Strong written and verbal communication skills
  • Ability to work efficiently and effectively with limited supervision both independently and as part of a team
  • Ability to prioritize and multi-task
  • Reliable, organized and detail-oriented

Preferred Qualifications

  • Previous experience in an office setting
  • Ability to help foster a welcoming environment
  • Ability to handle confidential information
  • Familiarity with PeopleSoft systems including the Enterprise Financial System
  • Familiarity with ChromeRiver
  • Website development and management (Drupal)
  • Familiarity with graphic design software (Canva or the equivalent)
Pay and Benefits

Pay Range: $22.71 - $24.08 per hour; depending on education/qualifications/experience

Time Appointment Category: 100% Appointment, 12 month
