Executive Assistant

We are looking for an Executive Assistant to join our Group and to support the Managing Director and Senior Leadership Team, contributing to the smooth operation of our organization. We are a growing instrument manufacturing entity with nearly 200 employees sharing a campus with other Endress+Hauser companies totaling about 800 employees, offering a strong network for collaboration and development.

Which tasks will you perform?

  • Business Presentation Preparation and Document Handling:

  • Utilizing established templates, consolidate, collect and prepare presentations that are organized and communicate the necessary points tailored to the audience from executive level business proposals to all employee meetings.

  • Prepare, share, file, and store documents and materials with accuracy and confidentiality.

  • Cross-Functional Collaboration:

  • Work closely with internal teams and external/community partners to support successful outcomes.

  • Actively participate in Lean Manufacturing and continuous improvement initiatives; seek feedback from leadership to enhance performance.

  • Email and Calendar Management:

  • Process, sort, prioritize and respond to incoming email to the Managing Director and other shared email inboxes, according to defined preferences.

  • Maintain and coordinate the Managing Director's daily calendar and the company-wide calendar of activities, ensuring alignment with business priorities and key deadlines.

  • Meeting Support and Event Planning:

  • Schedule and organize onsite and offsite meetings. Attend meetings, record discussion notes, decisions made, actionable items, and ensure thorough follow-through and communication.

  • Organize in-house and off-site employee events, including FL US social events and Global Weeks, ensuring seamless execution.

  • Travel Manager and Coordination:

  • Act as the Travel Manager for the company, ensuring Travel Policies and Practices are followed. Arrange domestic and international travel logistics tailored to travelers' preferences and schedules.

What do we expect from you?

  • Ability to take initiative, seek clarity, and demonstrate a willingness to learn.

  • Excellent written and verbal communication skills.

  • Strong interpersonal skills and a collaborative mindset.

  • Proven experience as an Executive Assistant or in a similar administrative role.

  • Strong organizational and prioritization skills with the ability to manage multiple tasks simultaneously.

  • High attention to detail and commitment to accuracy.

  • Proficiency in Microsoft Office 365 (Outlook, Teams, Word, Excel, PowerPoint, OneNote).

  • Experience with or exposure to Lean Manufacturing principles is a plus.

  • Understanding of how business functions are interconnected.

  • Ability to develop engaging solutions and contribute to strategic planning.

  • Comfortable working in a fast-paced, dynamic environment.
