Position Overview

Overview:
We are seeking an experienced and motivated Mailromm Site Manager to oversee daily operations related to mail, shipping/receiving, and office services. This role requires strong leadership skills, excellent customer service, and the ability to manage a dynamic and fast-paced environment.


Key Responsibilities:


  • Oversee mailroom operations, including shipping, receiving, and internal deliveries.



  • Collect data and prepare monthly reports.



  • Maintain accurate records and organized filing systems.



  • Train, monitor, and discipline employees as needed.



  • Conduct employee appraisals and performance evaluations.



  • Interview and select candidates for open positions.



  • Maintain and update the site's Operations Manual.



  • Educate client staff on available services and processes.



  • Interact with vendors on behalf of the client and manage vendor relationships.



  • Review departmental charges and process client chargebacks.



  • Code and review courier invoices.



  • Ensure priority handling and tracking of all accountable deliveries.



  • Perform key operator maintenance and ensure equipment is in good working condition.



  • Resolve issues related to lost or delayed packages and ensure timely communication with clients.



  • Maintain inventory and manage distribution of office supplies.



  • Attend client meetings and maintain daily communication with client contacts.



  • Keep Operations Manager informed of site issues and efficiencies.



  • Resolve interpersonal staff conflicts as needed.



  • Work overtime as required.



  • Perform other duties as assigned.




Qualifications:


  • 3-5 years of management experience in mailroom, copy services, or office services.



  • Strong knowledge of USPS, UPS, DHL, FedEx, and other shipping systems/software.



  • Ability to perform all tasks carried out by direct reports.



  • Excellent administrative and computer skills.



  • Strong written and verbal communication skills.



  • Demonstrated leadership and team-building abilities.



  • Excellent problem-solving skills and the ability to manage difficult or irate customers.



  • Ability to set priorities, motivate team members, and multitask in a dynamic environment.



  • Must be able to lift up to 50 pounds.



  • Exceptional customer service skills.



  • Associate's Degree preferred.
