Administrative Assistant

Aging & Disability Resource Center (ADRC)

Hourly Pay Range: $19.88 - $29.83

Job Summary: The Administrative Assistant will provide clerical support to the ADRC Director and operations. This position is responsible for scheduling and planning meetings and taking minutes. The Administrative Assistant will also coordinate the purchase and distribution of supplies, developing word documents, spreadsheets, and PowerPoint presentations.

Job Duties:



  • Schedule ADRC Governing Board meetings. Prepare agenda with the Director and Board Chair. Take minutes, order supplies and refreshments. Coordinate follow-up and serve as the primary contact for board as well as board committees.
  • Track, order, and distribute supplies. Support inventory of supplies for community events and outreach projects.
  • Schedule meetings for ADRC Director with community partners. Plan and schedule ADRC all staff meetings including location, supplies, and logistics. Support ADRC Governing board and lead staff in scheduling and coordinating annual listening sessions.
  • Type documents as well as create spreadsheets and PowerPoint presentations as assigned.
  • Performs all other general office support as assigned.



Minimum Qualifications:



  • Current resident of the state of Wisconsin
  • High School diploma/GED equivalent.
  • At least one (1) year of office work experience.
  • Basic knowledge of all MicroSoft office products including Excel, Word, Outlook and Teams.



Preferred Qualifications:



  • Associate degree or higher.
  • Experience working with individuals with disabilities and over the age of 60.



Knowledge, Skills and, Abilities: Demonstrated communication skills and experience working in a high pace, demanding team environment. Ability to follow simple instructions; create reports, short correspondence, and memos; able to prepare and/or write communication pertaining to complex topics; ability to conceptualize, be creative, problem solve, be pragmatic, and assertive; ability to maintain a continuing working relationships which can have a significant effect on the success of the organization; skilled in the use of PC's, laptops and cell phone; ability to work effectively and harmoniously with peers and client departments; ability to maintain sensitive or confidential information.
