The Strategic Enrollment and Student Success (SESS) division comprises more than 200 dedicated staff and faculty who support the educational outcomes of CU Denver's students. Working in partnership with our schools and colleges, the division provides a wide range of student services and supports, including admissions, advising and mentoring, tutoring, health and wellbeing, career and experiential learning opportunities, housing and dining, recreation and club sports, student leadership programming, and other offerings that are essential to a successful academic and co-curricular journey. The Executive Assistant will provide administrative, operational, and technical support to the Vice Chancellor for Strategic Enrollment and Student Success. Coordinate day-to-day activities of the Vice Chancellor, managing a broad range of inquiries and assignments. The position possesses project management skills, effective analytical, problem-solving, and multitasking skills, works well in a dynamic and fast paced environment, and can manage complex and concurrent tasks. The position exercises initiative to achieve goals and objectives, maintains confidentiality and establishes and maintains positive working relationships. The executive assistant works on the CU Denver Campus.

Executive Assistant:

What you will do:





  • Serve as the initial point of contact for the Vice Chancellor, using diplomacy to appropriately answer or refer questions.



  • Provide assistance and administrative support to the Vice Chancellor.



  • Coordinate and manage the calendar for the Vice Chancellor, determining appropriateness of meeting requests, length and locations of meetings, suggested meeting invitees, and prepare meeting overview document.



  • Respond in a timely manner to all requests from various sources, both internal and external, for the Vice Chancellor's time.



  • Responsible for updating professional membership contact information with various associations and renewing annual memberships.



  • Process and approve office supplies and equipment orders and handle equipment maintenance for the Vice Chancellor.



  • Develop and maintain office records including routine correspondence/materials and sensitive and confidential employee information.



  • Develop positive working relationships and provide back-up support for other administrative functions in SESS.



  • Help maximize the effectiveness of the Vice Chancellor's office by managing projects and deadlines. This position will have responsibility for various projects as specified by the Vice Chancellor.



  • Coordinate the Vice Chancellor's travel arrangements and process reimbursements following fiscal policies and procedures.



  • Process all meal and mileage reimbursements for the Vice Chancellor following fiscal policies and procedures.



  • Process and route letters and documents for the Vice Chancellor's signature in a timely manner.



  • Create agendas and organize arrangements for any Vice Chancellor Team meetings.



  • Conduct research on various higher education topics and functions, as directed by the Vice Chancellor.



  • Track progress on initiatives and provide appropriate follow-up communications.



  • Provide insight on annual and project-based budget forecasts, planning, and expenditures in collaboration with leadership team, budget office, and project leaders, as appropriate.



  • Coordinate meetings and events.



  • Coordinate annual evaluations for the Vice Chancellor's direct reports.



  • Arrange for purchases as requested by the Vice Chancellor.


  • Other duties as assigned.


Qualifications you already possess (Minimum Qualifications)

Applicants must meet minimum qualifications at the time of hire.




  • Bachelor's Degree in a related field from an accredited institution Years and type of experience.


  • Three (3) years' experience in executive level administrative support or related field.



Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Preferred Qualification to possess (Preferred Qualifications)





  • Experience working in a university environment.



  • Experience working with procurement and travel software.


  • Experience with program and/or project management.


Knowledge, Skills, and Abilities





  • Knowledge of university policies and procedures, and ability to apply them.



  • Strong attention to detail.



  • Strong communication skills and the ability to work well with a wide audience.



  • Proficiency in use of Microsoft Outlook, Word, Excel, Access, Power Point, Visio, Canva and Adobe Professional.



  • Ability to interact positively with students, faculty, staff, and visitors.



  • Ability to establish work priorities.



  • Ability to follow through to ensure completion of activities by the established deadline.



  • Ability to communicate effectively with all levels of faculty, administration, staff, and students in both a written and verbal capacity.



  • Ability to manage complex, sensitive, and confidential information.



  • Ability to cooperate and support other department staff to contribute to a productive work environment.



  • Strong organizational skills.



  • Ability to develop office processes and procedures as needed.



  • Ability to work both individually and as a team with the support staff for the Chancellor, Provost, and other Vice and Associate Chancellors.



  • Excellent oral and written communication skills.


  • Proficiency with word processing, spreadsheet, presentation, and scheduling software.


Conditions of Employment





  • Occasional work during the evening and/or weekends may be required.


  • This position follows a hybrid work structure where employees can work remotely or from the office, as needed, based on demands of specific tasks or personal work preferences. Working from the office is encouraged when working on tasks that require a high degree of collaboration.


Mental, Physical, and/or Environmental Requirements




  • The ability to sit for extended periods, stand and walk occasionally, reach with hands and arms, use hands to manipulate a keyboard and mouse, and have good near vision for computer work;often requiring minimal lifting, but may involve bending or reaching to retrieve items from shelves or drawers.

Compensation and Benefits

The salary range (or hiring range) for this position has been established at $67,412 - $74,508.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
