Operations Sales Support - Order Processing

Founded in 2017 and based in Chicago, Meitheal is focused on the development and commercialization of generic injectable medications and, as of 2022, has expanded its focus to include fertility, biologic, and branded products. Meitheal currently markets over 60 U.S. Food and Drug Administration (FDA)-approved products across numerous therapeutic areas including anti-infectives, oncolytics, intensive care, and fertility.

As of January 2025, Meitheal, directly or through its partners, has 19 products in the research and development phase, 22 additional products planned for launch in 2025, and 24 products under review by the FDA. Position Summary

The Sales Support/Order Processing Specialist processes orders for Meitheal products from sales staff or direct customer contact. Maintains customer files with sales contracts and other information. Gives price quotations, completes order sheets and checks the price and quantity of each item listed. Distributes completed order details to distribution operations. May coordinate with departments regarding order status, shipping dates, prices, product availability and back orders. This is an individual contributor role.

The pay for this position is $52,000 to $62,000, The estimated salary range reflects an anticipated range for this position. The actual base salary offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. The actual base salary offered will be in accordance with state or local minimum wage requirements for the job location.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Primary

  • Process orders from customers via phone, e-mail and fax.
  • Manage customer orders (open order report, order confirmation, queries, and delivery investigations), escalations, inquiries & disputes.
  • Receive and process all customer purchase orders. Provide feedback and expertise on the ordering and fulfillment process. Collaborate closely with supply chain, operations, and other departments, as needed, to improve customer experience and optimize efficiency for the customer.
  • Resolve customer questions, product inquiries, and requests (order tracking, availability checks, late delivery notifications, back-order notifications, and resolve related issues to shipment of products, returns, credits, and new orders).
  • Process credits, debits and returns.

Secondary

  • Develop and maintain relationships with key pharmaceutical clients
  • Ensure client satisfaction and address any issues promptly
  • Respond to customer inquiries via phone, email, and chat.
  • Maintain accurate records of customer interactions and transactions.
  • Coordinate with internal departments to ensure timely resolution of issues.
  • Ensure compliance with industry regulations and company policies.
  • Identify opportunities for process improvement.
  • Build loyal relationships with customers by understanding and supporting their needs, following through with your commitments, and providing high quality customer service.
  • Meet department KPI's and metrics (order accuracy, on-time order placement, customer satisfaction score, etc.)
  • Provide accurate and timely information regarding the status of open orders to customers and technicians.
  • Prepare all assigned reports and correspondence accurately and on time, to include service log, open work orders, maintenance agreements, warranty work, billings, etc.
  • Address and resolve customer inquiries, problems and complaints regarding products, services, billing, applications, etc.

Education and/or Experience

Required:

  • Bachelor's degree in business-related discipline or similar experience.
  • 1- 3 years of experience in pharmaceutical industry
  • Trade and channel distribution related experience highly preferred
  • Experienced in establishing wholesaler distribution partnerships highly preferred
  • Experience partnering with a third-party 3PL provider a plus.
