About the Position The Office Assistant Specialized provides a variety of specialized clerical and administrative support duties for the Internal Affairs Division. Tasks performed are specialized and often complex and/or sensitive in nature. This position receives occasional guidance or assistance as new or unusual situations arise and may be required to interpret operating procedures and policies of the work unit to lower level staff. - High School Diploma or GED
Experience
- Two (2) years of experience performing office, administrative, and clerical duties.
OR Combined education and experience qualifications
- An equivalent combination of education and job-related experience may substitute for the minimum qualifications on a year for year basis.
Other Requirements
- Training that may be provided on-the-job: FEMA NIMS - IS100 and 700; Safety; ADP Payroll; PREA training.
- Must possess, or have the ability to obtain by the time of hire, a valid Arizona driver's license.
- Prior to hiring, the Sheriff's Office requires that all candidates pass a background review.

Essential Job Tasks (This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)
- Composes complex and sensitive forms, letters or memorandum. Prepares and processes specialized paperwork.
- Process and handle confidential information with discretion.
- Provides information to public, other agencies, and MCSO personnel. Creates and manages computer database applications.
- Compiles monthly reports and records for staff expenditures. Maintains calendars and schedules activities.
- Implements and maintains files and databases, such as office budget, vehicle inventory, personnel lists, property inventory, personnel files, and reports for the Bureau, and tracks/follows-up.
- Provides customer service via telephone, email, and in person.
- Trains and directs the workflow of lower level administrative staff reporting to the Division. Cross-train and provide backup for other administrative staff, including answering phone calls from the public to accept comments and complaints.
- Attends meetings, takes notes, generates reports, and distributes to appropriate personnel.
- Inventories, orders, and stocks supplies for staff.
- Be present at work site to perform tasks as scheduled and/or assigned by supervisor.
