Job Description

Position Summary:

The File Clerk is responsible for organizing, storing, and retrieving sensitive company documents and records efficiently and securely in a fast-paced, aerospace company. The File Clerk will lead efforts to scan large amounts of files and properly save the electronic documents into the appropriate location as the company transitions from a paper-dominated file storage and retrieval system to an electronic one. This position plays a key role in ensuring accurate record-keeping and supporting daily office functions. This role is a long-term temporary position that is projected to last one year. The position is full-time, Monday through Friday, daytime hours.

Primary Duties & Responsibilities:

  • Organize and file physical and electronic documents accurately
  • Retrieve paper files and records for staff as requested
  • Maintain file organization and ensure all records are up to date
  • Scan and digitize physical documents for electronic storage
  • Label and index files for easy retrieval
  • Monitor and maintain file room inventory
  • Handle confidential information with discretion
  • Perform general clerical duties such as photocopying, data entry, and mail handling
  • Actively support and participate in continuous improvement
  • Other duties as assigned

Knowledge and Skills:

  • Basic proficiency with computers (Microsoft Office) and scanners
  • Time management in efficiently working through filing and scanning tasks
  • Categorization and labeling: able to sort and classify using various systems (alphabetical, numerical, chronological, etc)
  • Strong organizational and time-management skills
  • Attention to detail and accuracy
  • Ability to lift boxes or files up to [weight, e.g., 20 pounds], if needed
  • Ability to maintain confidentiality and handle sensitive information
  • Communication: verbal and written
  • Ability to work well with others in a friendly team-oriented environment

Experience and Education:

  • High school diploma or equivalent
  • Previous clerical or administrative experience preferred
  • Manufacturing or Aerospace experience a plus
