What you'll do and what you'll bring:

Position Function:

The Administrative Assistant to the Associate Dean for Engagement serves a critical role in the coordination and written and verbal communication related to issues regarding University Schools (Burris Laboratory School and the Indiana Academy), the Office of Charter Schools, the Director and Assistant Directors of Student Success, including the Ryan Navigators program, college committees, university partnerships with offices such as the Office of Community Engagement, and external partnerships with school districts and community organizations. The Assistant to the Associate Dean for Engagement serves as a primary resource for information and collaboration with internal and external offices and is expected to maintain confidentiality and ensure that interpersonal interactions are conducted in a timely and professional manner. The Assistant to the Associate Dean for engagement will make decisions based upon priorities established with the Associate Dean and will use excellent judgment and discretion in representing the Associate Dean.

Duties/Responsibilities:

  • Provide administrative support and assistance to the Associate Dean for Engagement; includes but not limited to coordinate, prepare documents for, and schedule meetings; assemble, maintain, and archive meeting agendas; and maintain updated calendar, paying attention to internal and external meetings and logistics of travel time. Process mail, maintain electronic files, process travel, including authorization and reimbursement as needed. Write, review, and proof a variety of correspondence, reports, etc. Assist the Associate Dean in preparation for meetings and development of power-point/visual presentations.

  • Provide in-time support to personnel and offices that report to the Associate Dean by learning the nuances of the offices and roles, providing resources, and supporting a collaborative infrastructure, including University Schools (Burris Laboratory School and the Indiana Academy), the Office of Charter Schools, student success initiatives including the Ryan Navigators program, college committees, and current or new Directors.

  • Provide administrative support to the Associate Dean's direct reports, most notably in areas related to student-success, community engagement, and external partnerships. Assist Dean's secretary with processing reimbursements and independent contractors as needed.

  • Coordinate with student success staff and relevant university offices to streamline processes and procedures regarding scholarship applications, report generation and dissemination, committee work, and maintaining an archive of meeting minutes, goals, and outcomes.

  • Assist with final editing and sharing of meeting minutes with committee members.

  • Provide administrative support to the Teachers College Inclusive Excellence committee including regular communications about meetings, announcement, archiving, and communications regarding the annual dissertation award, seed grants, and maintain and organize cloud-based system for access by current committee members.

  • Attend meetings on and off campus with the Associate Dean as needed to take minutes, notes, or provide general assistance.

  • Assist with special events for the Deans' Office, the Associate Dean for Engagement's team, and university-wide events, including some evenings and weekends.

  • Maintain regular and predictable attendance.

  • Perform other related duties as assigned.

Minimum Qualifications:
Education:

Associate's degree or an additional two years of related experience will be accepted in lieu of an associate's degree.

Experience:

At least one year of related experience.
