Position Title:Outpatient Clinic Rehab Services Lead

General Description: This role will serve as first point of contact for the Rehab Services Adult Outpatient (OP) leadership team. They will troubleshoot issues including patient scheduling, answer communications from staff, patients, referring physician offices, and generally act as the resource person for the clinic. Will serve as a core member of the OP Rehab team with an operational focus, and a commitment to quality patient care. Essential Responsibilities: Responsibilities listed in this section are core to the position. - Oversees the work of the clerical staff in the outpatient office.
- Reviews and forwards referrals for therapy to the schedulers
- Maintains staff work schedules
- Coordinates and efficiently maintains staff's daily schedule of patients
- Maintains a timely flow of all patient types.
- Facilitates and coordinates internal and interdepartmental communication among staff
- Serves in a liaison role for referring physician offices
- Responsible for maintaining computer based programs including teaching others to use the system and troubleshooting the system.
- Responsible for scheduling and coordination of meetings.
- Responsible for supply management
- Responsible for day/month end closing
- May provide receptionist type coverage for the area: handle routine patient calls, intercom pages, personal callers, route incoming mail and answer routine inquiries.
- Organizes, prepares and maintains patient medical records and files.
- Assists patients or responsible parties with their financial liability on all past and present accounts and makes appropriate arrangements for payment
- Analyzes patient financial status and related information to determine if financial assistance may be available through other third party organizations
- Assures all updates to financial and demographic data are completed
- Contributes to the planning and implementation of marketing strategies for department
- Finds orders and notes in the electronic health record when requested.
- Promotes system security and patient confidentiality and helps ensure compliance.
- Assists with creating flyers and advertisements.
- Will cross train to serve as a backup for other functions of the support/clerical/office team.
- Performs a variety of other administrative tasks including reporting and tracking information.
General Responsibilities:

Minimum Qualifications: Education: None required. Bachelor's degree in business, management, healthcare or other related field preferred. Experience: 1 or more years of professional work experience required. 2 or more years of professional work experience in a healthcare setting preferred. OR equivalent combination of education and experience. License(s)/Certification(s)/Registration(s) Required: None. Knowledge, Skills and Abilities:
- Experience with ICD-10, CPT, and APC codingand knowledge of standard reference applications (CPT, ICD-10, HCPCS, DRG)
- Proficient knowledge of medical terminology, anatomy, and surgical and medical procedures.
- Working knowledge of medical claims processing guidelines and practices and medical record documentation.
- Knowledge of Medicare and Medicaid programs,
- Ability to maintain confidentiality
- Excellent customer services skills
- Superior communication skills - verbal, written, presentation and negotiation.
- Ability to use proper grammar, spelling, punctuation and sentence structure to answer correspondence and reports
- Must communicate effectively with insurance representatives, clinical and administrative staff, other hospital departments, and other team members
- Proficient with Microsoft Office Suite including Excel, Word, PowerPoint and Outlook. Ability to use computer systems, various applications, and operate office equipment
- Must have experience with EMR and Practice Management software
- Understand therapy workflows, from the therapist and patient perspective and knowledge of clinic office procedures
- Creative problem solving skills
- Excel in an environment with constant changes
- Flexibility with schedules and duties, including a willingness and ability to work overtime on occasion
