We have an opportunity at our corporate offices in Chicago for a Director
I Facilities Management
on our Corporate Services team. This is a hybrid position reporting into our Chicago, IL office, requiring 3 days a week in the office.

This position will direct engineering and building service operations including managing
staff, vendors, and serve as a liaison to building management. Direct
and coordinate construction and general building services and space planning throughout
Chicago headquarters, Washington DC and Greenville offices. Provide project
management and programming/planning services to the AMA for building projects
of all sizes/scopes. Provide managerial direction to ensure an
efficient, effective, and safe working environment, responding to ever-changing
organizational facility requirements.

RESPONSIBILITIES:

Building and Planning Services

  • Direct the operations of the AMA facility coordinating activities between Building Services, Engineering, and outside vendors/contractors.
  • Liaison with building management janitorial services and non-engineering items to ensure facility is kept clean and fully functional.
  • Direct onboarding, offboarding, and relocation process adhering to the move guidelines, corporate office standards, updating CAD drawing files and database files as needed to support the relocations.
  • Direct the chief engineer regarding the engineering maintenance activities for proper upkeep of dedicated AMA systems and finishes including coordination to maintain the building engineering related work such as plumbing, HVAC, life safety, security systems.
  • Maintain Facility Management Database providing occupancy reports, detail updates to client groups, and summary utilization reports to senior management.
  • Leverage facility data to provide strategic planning, programming, pre-planning services, relocation plans, verification of staff, etc. for new projects; responsible for annual space plans based on identified changes (includes maintaining occupancy and strategic facility data-drawings for the Chicago, DC, and SC offices).
  • Collaborate with BU leaders to determine current needs, evaluate available resources, make recommendations to several layers of management, and develop actions to achieve agreed upon goals.
  • Update CAD drawings of facility projects as needed to reflect new construction or furniture reconfigurations to keep drawings current
  • Provide programming, planning, design, and project management to assigned projects of all scales and scopes.
  • Collaborate and coordinate with all other operating units within the AMA to achieve desire project outcomes.
  • Collaborate with Security Manager on building issues as needed.

Building Services Operations

  • Manage vendors/contractors and approve services.
  • Liaise with Security team and Building Management as needed to coordinate landlord services for Building Operation activities; participate in reviewing lease negotiations.
  • Oversee Building Facilities budget including operating budget, establish schedules, and capital budgets for re-organizations, purchasing new furniture, and reconfigurations of existing furniture layouts.
  • Maintain Building Services and Facilities website and manage Building Services workticket program.
  • Provide managerial direction and leadership to other managers and staff to help ensure effective and efficient use of available human and financial resources to ensure a clean office environment.

People Management

  • Provide management oversight for staff including hiring, training, and ensuring compliance.
  • Responsible for setting objectives, evaluating employees performance and fostering a collaborative team environment.
  • Responsible for developing staff's knowledge and skills to support career development.

May include other responsibilities as assigned

REQUIREMENTS:

  1. Bachelor's degree in architecture, construction management, business administration, engineering, or other relevant field required.
  2. Demonstrated experience in project management required; PMP certification strongly preferred.
  3. Minimum 10+ years experience in facility or building operations required.
  4. Minimum 3+ years experience in people management required; able to attract and develop talent.
  5. Strong working knowledge and demonstrated ability with engineering and building systems.
  6. Proven experience with construction and interior design, including ability to read and understand construction documents, blueprints, is required. IFMA membership preferred, IIDA a plus.
  7. Demonstrated ability to plan and produce schematic design floor plan documents required; prior experience in human-environmental relations and in analyzing organization structure and programming for space needs.
  8. Experience managing facility databases and asset database applications; (FMS and MS Access) and special applications MS Project; proven experience in AutoCAD required.
  9. Well-developed fiscal and project management skills needed to bring projects in on time and under budget.
  10. Experience with lease negotiation a plus.
  11. Polished communication skills, both written and verbal to communicate with stakeholders at all levels.
  12. Highly proficient interpersonal skills and negotiating skills required to interact with outside vendors and service providers as well as with internal clients.

This role is an exempt position, and the salary range for this position is $126,378-$170,825. This is the lowest to highest salary we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration, geographical location, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
