This position is located on the Peoria campus 170 miles southwest of Chicago. (On-Site Work - Not Remote).

The University of Illinois College of Medicine Peoria (UICOMP) educates 265 medical students and more than 300 physician residents and fellows annually. Additionally, it provides clinical care to more than 31,000 patients annually and conducts basic science, clinical and outcomes research. Position Summary
The employee will assist the Director of the Doctoring and Clinical Skills (DoCS) Course and Early Longitudinal Immersion (ELITE) in the coordination of programs for Phase 1 medical students following established guidelines. Ensures confidentiality.

Duties & Responsibilities

  • Pre-clerkship Course scheduling and support: Provides support to the Doctoring and Clinical Skills course (DoCS) and the Early Longitudinal Immersion (ELI2TE) programs. Prepare schedules, implementation, and evaluation of pre-clerkship medical student activities (i.e. Small Group, Immersion Experience, Interview Sessions, OSCE, etc.) Maintains calendar of activities and coordinates logistics such as room preparation, physical plant tickets, etc. Notify faculty, students, and other appropriate staff of procedures, deadlines, and schedule changes. Tracks attendance. Handles DoCS and ELI2TE absences, scheduling make-up sessions with preceptors and required documentation. Coordinate all optional sessions with faculty. Serves as liaison with JUMP Simulation Center to schedule and coordinate logistics of DoCS activities held at JUMP. Works collaboratively with the UICOMP SIM team. Procures supplies and works to schedule the adequate number of standardized patients and preceptors for each activity. Prepare reminders for and confirm participants for each activity. Anticipates preceptor or standardized patient cancellation/no-shows. Maintains procedure to adjust group size when less than adequate number of preceptors are available. Assists with the recruitment of new faculty preceptors' appointment information and submits CME and Health Sciences Library information. Serves as first contact to assist students with questions and/or concerns about medical education program requirements, DoCS, and ELI2TE requirements. Maintains confidential information such as grade reports, evaluations, and records for DoCS course and ELI2TE program. Confirms and documents the completion of individual student course requirements to ensure eligibility for promotion to the next level (M1 to M2; M2 to M3). Confirms accuracy and completeness of student assignments. Ensures completion of accreditation requirements mandated (by clinical facilities/clinics) for ELIITE.
  • Curriculum Document Preparation: Obtains drafts of course material and session notes; formats, documents, proofreads, and clarifies errors with DoCS/ELI2TE Director. Provides final copy. Maintains course syllabus (and up-to-date back up) and verifies that sessions follow logical progression.
  • Assists with operation of DoCS Clinical Sessions to ensure all students participate. Ensures consistency in all sessions. Participates in proctoring of all Phase 1 end-of-block exams and NBME test administrations.
  • Maintains budget records for each program and provides information to the Academic Affairs, Business Administrative Associate.
  • Performs other related duties and participates in special projects as assigned.


  • Minimum Qualifications

    1. High school diploma or equivalent.
    2. Any one or combination totaling four (4) years (48 months), from the categories below:
      1. College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
        • 30 semester hours equals one (1) year (12 months)
        • Associate's Degree (60 semester hours) equals eighteen months (18 months)
        • 90 semester hours equals two (2) years (24 months)
        • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
      2. Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems.


    Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.
