This is a full-time, overtime eligible position on the Olympia Campus of The Evergreen State College.
Position Purpose
Coordinate the implementation of Professional and Continuing Education (PaCE) curriculum, including catalog and website management for certificate programs and part-time classes at Evergreen. This position is responsible for implementation and tracking of both academic (credit-bearing) and professional (non-credit) certificates. In addition, the position supports the development and implementation of part-time paths for degree completion and workforce development.
Nature and Scope
This position works directly with the Deans and staff of Evergreen's school of Professional and Continuing Education (PaCE) and the college's Undergraduate Curriculum Team. It occasionally coordinates with external partners as well as the Deans and Directors of Graduate Programs and Public Service Centers for the ongoing implementation of credit-bearing and non-credit certificates. The incumbent serves as the primary liaison to other offices on campus for certificate-related set up within the college's enterprise systems used for student advising and registration. This work includes coordination with colleagues in Enrollment Services, Academic and Career Advising, Student Accounts, Space Scheduling, and Marketing.
Under the general direction of the Dean of Professional and Continuing Education, this position works closely with other staff in the Academics division to provide a wide range of academic support functions, including but not limited to communicating policies and procedures to internal and external constituents, providing academic project support, and providing administrative support to two academic deans.
Essential Functions
Certificate and Part-Time Curriculum Coordination

  • Provide on-going administrative support for curriculum management for multiple planning years, including implementing part-time academic paths, certificates, and PaCE courses by collaborating with faculty, instructors, directors, deans, and staff to maintain accurate information, schedules, forms, and procedures.
  • Act as the primary coordinator, editor, and data manager of certificate curriculum for the online academic catalog and related internal documents, including managing multiple Excel spreadsheets and providing administrative support for curriculum representation in PaCE marketing, recruiting, and outreach processes.
  • Act as a primary certificate-information resource for the campus community, external partners, and the public, and independently trouble-shoot issues related to certificate enrollment, academic planning, scheduling, etc.
  • Provide certificate developers, faculty, and staff with first line of support in use of the certificate systems, policies, and procedures; access to institutional and market research; management of distribution lists; and development of curriculum data analysis and reports using data analytic tools.
  • Serve as a liaison for troubleshooting certificate design and implementation issues that impact other areas of the college, and support change management by identifying and documenting system and user issues.
  • Work collaboratively with the other staff to update, develop, and document curriculum implementation standards in the Curriculum Management Database and Banner systems.
  • Assist the PaCE Deans with planning and logistical support for various curriculum development events, such as yearly curriculum planning retreats, PaCE faculty meetings, summer institutes, and curriculum review processes.
  • Facilitate certificate and/or academic project meetings on behalf of the deans, take notes, manage documents, and occasionally represent the PaCE deans at certificate-related meetings.


Curriculum Path Support

  • Support Curriculum Path management by updating faculty affiliations, Path webpages, and Path advising guides.
  • Work with the Academic Advisor for PaCE and the Path faculty to provide logistical, production, and communication support for Path events and newsletters.
  • Provide reports as needed on student participation in Path curriculum.

Certificate Budget & Partnership Support

  • Support on-going communication and information sharing with external certificate partners, including meeting and agenda coordination, notetaking, and marketing coordination.
  • Act as a liaison to the Assistant Registrar and to external partners for coordinating non-credit certificate enrollment and student records processing.
  • Provide administrative support for partnership development, including documenting decisions and facilitating approval processes related to certificate budgets, timelines, deliverables, and related MOUs.

PaCE Support

  • Document and maintain updated tasks and timelines associated with this position.
  • Assist other PaCE staff with desk duties during peak times and during absences and support rotating duties when capacity allows.
  • Participate in PaCE staff meetings, events, and hiring committees as needed.
  • Participate on college committees as a PaCE representative when assigned.

Knowledge Skills and Abilities
Technical

  • Ability to provide administrative support to a dean, director, or equivalent, including drafting correspondences and providing initial in-take from students, faculty, and staff regarding certificate-related issues.
  • Knowledge and skill in internet/basic research and ability to use market analysis tools.
  • Ability to prepare reports, such as enrollment patterns and curriculum history, including the analysis, organization, and effective presentation of data.
  • Excellent written communications skills, including editing, writing, and proofreading printed material and website content.
  • Skill and ability to use standard office equipment, PC and Mac operating systems, and various programs/software, such as Excel and other Office 365 applications, and central databases.
  • Foundational knowledge of higher education academic issues, policies, practices, and support systems for students and staff.
  • Knowledge of higher education curriculum and/or certificate development for undergraduate degree or professional continuing education programs.
  • Ability to create and manage multiple electronic and paper information files.
  • Skill in tracking and coordinating tasks and related deadlines for multi-year curriculum cycles, including information gathering and data management.
  • Skill in helping faculty and others use relevant systems and processes throughout the curriculum development and implementation cycle.

Minimum Qualifications
Desired Qualifications

  • Bachelor's degree in professional learning, higher education, workforce development, business communication, or related fields.
  • Experience supporting large institutional programs that require internal information gathering, detailed data management, audience-centered communication, and collaborative coordination.

Conditions of Employment

  • Must provide proof of identity and employment eligibility within three days of beginning work.
  • This position is part of a bargaining unit and covered by a collective bargaining agreement.
