About the Position The Director, Career Management Center (CMC) Operations will be responsible for leading the operations for Kellogg's Career Management Center (CMC) organization inclusive of the full-time MBA (FTMBA) programs and part-time MBA (EWMBA & EMBA) programs while acting as the senior operational partner to the Assistant Dean, Director, CMC. Charged with delivering the best-in-class experience for all stakeholders engaged with the CMC, close partnership with the Director of Employer Relations and the Director of Coaching and Educational Programming and Director of Working Professionals to ensure we are managing CMC operations with maximum efficiency and effectiveness. The Director, CMC Operations oversees and leads technology initiatives and systems in addition to recommending emerging technology; establishes and builds strong partnerships across the CMC and Kellogg; ensures allocation of resources; and is a strong collaborator to ensure all CMC operational processes are optimized and coordinated Specific Responsibilities: Administration
- Develops and manages administrative process and practices ensuring the seamless flow of work and services.
- Operationalizes goals & objectives; ensures that resources are created or obtained.
- Manages customer service; creates associated practices & procedures & metrics to measure success.
- Partners with peer institutions to share best practices, cutting-edge delivery of services and resources.
- Researches state-of-the-art enhancements, market/economic conditions and implements changes that improve resources and services.
- Manages and executes ongoing and special projects on behalf of the FTMBA coaching and employer relations teams (e.g. TREKS, Career Peers, Resume Review, Mock Interviews, JAG's, educational programming support)
- Develops and assigns work assignments across the team, coordinates and manages workflow across all functions of the CMC. Ensures that resources are allocated and manages team to meet priorities, objectives and goals.
- Collaborates with the FTMBA & WP Admin teams to define, implement, and disseminate operational procedures and policies.
- Oversees and manages the collection, analysis, and reporting of employment outcomes for all FT and WP students. Provides backup for all CMC analytics. Oversees data requests from external and internal parties inclusive of media surveys. Partners with student groups, other Kellogg departments, CMC peers, and the CMC leadership team to contribute to the strategic goals of the CMC team at Kellogg.
- Coordinates new hire access to systems/platforms for all CMC staff members
- Recruits and hires CMC administrative staff (7 FTE + seasonal temps and workstudies)
- Manages licensing agreements and users for all CMC technology platforms (CMS, vMock, Smartsheets, Salesforce and Career Leader).
Facilities
- Oversees the management of CMC interview rooms/student study group room and CMC guest key card access process. (500+ visitor/year) while working closely with Student Life team to ensure needs are met
- Oversees all classroom and event space reservations, tech set up and hospitality for workshops (150+/year), company presentations (150+/year) and special events inclusive of guest hospitality
Technology
- Manages technology ensuring that resources and services are delivered using best practices.
- Leads overall technology strategy; acts as project manager for planning and implementation of all new technology and system changes within the department. Makes recommendations for improvement with existing systems and emerging technology.
- Acts as liaison to CMC technology vendors (vMock, CareerLeader, 12twenty, Gradleaders, etc).
- Interfaces with Kellogg Information systems staff to trouble shoot technology issues; provide expertise for all CMC technology platforms and ensures all staff are appropriately trained
- Ensures necessary hardware, software & network infrastructure services are obtained and implemented.
- Investigates and manages technology and process improvements across the FTMBA and WP staff and student experience, specifically related to our career management platform (12twenty), external and internal web sites, etc.; makes recommendations to improve efficiency and effectiveness of workflow.
- Provides operational and strategic support to CMC initiatives related to current technologies.
- Identifies and implements new technologies that can improve the staff and/or student experience.
- Advises and manages the administrative and technology aspects of key student communication tools (Slack, attendance tracking, Kellogg Groups, CMS etc...)
Accounting/Budget
- Responsible for planning and implementing budget management and oversite for the all CMC (Fulltime and E&W/EMBA. Report/analyze 7 budget breakouts including year-end and monthly/quarter reporting.
- Oversees all daily, monthly & annual financial activities including transactions, analysis, & reporting.
- Approves funds reallocation within budget as necessary & appropriate.
- Coordinates recurring payments (~12/monthly) for E&W/EMBA contract career coaches. Coordinates and manages all additional payments for episodic Full Time MBA coach support (mock interviews, resume reviewer, case prep experts and speakers).
- Manages vendor contracts, renewals and new tech approvals including evaluation to negotiation.
- Manage the oversight of approvers for expense reimbursement/purchase requisitions.
Evaluation
- Manages development & implementation of evaluation processes, quantitative & qualitative measurements that ensure that program benchmarks are successfully attained and communicated in a timely and efficient manner.
- Manages evaluation processes; recommends & implements changes for enhancement; monitors effectiveness through follow-up evaluation studies.
- Collaborates with internal/external resources to develop meaningful outcome measurements and methods of program evaluation that will lead to enhancement.
- Compliance
- Manages compliance with all applicable federal, state, local & NU laws, regulations, policies & procedures.
- Develops the creation &/or implementation of associated training.
- Manages submission of applicable documents.
Supervises
- Leads a staff of eight team members in all activities related to the administrative and operational support of the FTMBA and WP team.
- Directly supervises 4 staff and supervises manager of two full time and two part time staff.
- Trains, develops and evaluates staff.
Miscellaneous Performs other duties as assigned. Minimum Qualifications:
- Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience and 5 years' career counseling/advising in higher education or 5 years' of industry experience; or other relevant experience required; OR
- Successful completion of a full course of study in an accredited college or university leading to a master's or JD or higher degree; OR appropriate combination of education and experience and 4 years' career counseling/advising in higher education or 4 years' of industry experience; or other relevant experience required.

Target hiring range for this position will be $110,000 - $120,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
