Position Purpose: |
The Administrative Support Specialist is responsible for providing a full range of administrative support services for the Math and Science Division office. |
Essential Functions: |
- General office administrative support; assist in maintaining customer oriented reception, greet students, answer phones; respond to email requests; manage add/drop forms and class registration process.
- Inform students of registration procedures, and faculty and advisor hours.
- Interpret, apply and explain Division and College policies and procedures to students, staff and the public.
- Support Math and Science Divisions through the efficient and accurate use of scheduling and database software programs (such as Banner, MyLane, 25Live, ARGOS, Gmail email & Calendar).
- Efficiently utilize Windows-based office software, including spreadsheet, database, word-processing along with Google Drive applications.
- Perform purchasing functions for office supplies within established College and division guidelines; contribute to Lane's core value of sustainability through effective purchasing processes.
- Process Printing & Graphics orders and verify codes for appropriate accounts.
- Handle sensitive/confidential information and forms; composes and edits correspondence, memoranda, manuals and required documentation. Processing of Division archival records.
- Special projects and other duties as assigned.
- Does related work as required.
- Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students.

Supervision Statement: |
Reports to and works under the general supervision of a Division/Department Dean or other supervisor. An Administrative Coordinator or Project Coordinator may oversee the daily work. Work is performed independently using specialized experience and training. Work is reviewed for the quality and efficiency of tasks.
This position may have responsibility to assign tasks, provide priorities and train student assistants, volunteers and hourly employees. |
Physical Demands/Working Environment: |
While performing the essential functions of these positions, employees in this classification may be required to sit, stand, keyboard, write, listen, and speak for extended periods of time Work involves concentrated mental and visual attention for sustained periods of time. Work may require transporting materials up to 25 pounds. Work safely. |

- Support the Math and Science Divisions through the use of college programs such as Banner, MyLane, Gmail and 25Live; operate office equipment including computer, copier, calculator and printer.
- Use word-processing, desktop publishing, graphics, spreadsheet and database software both in Windows applications and Google Drive applications; generate various reports, lists, flyers, sign, posters and operating information; maintain records.
- Work patiently under pressure and with frequent interruptions; communicate effectively orally and in writing; work effectively with individuals of varied backgrounds; manage time effectively; prioritize tasks and take initiative; maintain a high level of confidentiality; pay attention to detail.
- Work independently; work in a team oriented fast paced multi-tasking environment with tight schedules, deadlines, and fast paced work assignments; manage and monitor a project; learn and appropriately apply College and department policies and procedures.
- Accurately clarify, interpret, apply and explain Division and College policies and procedures to students, staff and the public.
- Establish and maintain effective working relationships with supervisor, staff, and faculty in the Math and Science departments, and with other College personnel, students and the public.
