We're growing fast - and we're looking for a driven Accounts Payable Specialist who thrives in our dynamic environment.

Position Summary:

The right Accounts Payable Specialist will play a key role in our vendor and financial operations. In this vital role, you'll ensure our AP function runs with accuracy, speed, and compliance - supporting federal contracts that demand precision and accountability. You know how to navigate in a high-compliance, fast-paced, and mission-driven environment. And you bring a deep knowledge of GAAP, FAR, CAS, and DCAA compliance.

Key Responsibilities:



  • Own and manage full-cycle accounts payable, subcontractor, and expense reimbursement functions.
  • Review, validate, and process vendor invoices, ensuring proper coding, approvals, and documentation in compliance with federal regulations and company policy.
  • Monitor AP inbox and respond to inquiries in a timely and professional manner.
  • Complete a 3-way match on POs, invoices, and receiving reports as applicable.
  • Coordinate with procurement and project teams to resolve invoice discrepancies.
  • Support month-end close activities including AP accruals, aging reports, and reconciliations.
  • Prepare weekly payment runs (ACH, check, wire) and ensure timely disbursement.
  • Maintain vendor records, including W-9s and 1099 information.
  • Maintain accurate financial records and data systems, including managing vendor files and management of the Vendor Maintenance process.
  • Manage the annual 1099 process and ensure accurate reporting.
  • Prepare journal entries, account reconciliations, and supporting schedules.
  • Ensure compliance with internal company policies as well as GAAP, FAR, and CAS regulations.
  • Provide final review and audit of all employee expense reports.
  • Support external audits, including financial, DCAA, and internal control reviews.
  • Participate in system upgrades and process improvement initiatives.
  • Conduct account research and handle ad-hoc accounting, reporting, and administrative tasks as necessary.
  • Perform other duties as required.


Qualifications:

Required:



  • 5+ years of full-cycle AP experience in a government contracting environment
  • Strong understanding of GAAP, FAR, CAS.
  • Experience in Deltek Costpoint
  • Advanced Excel skills (formulas, pivot tables, data sets).
  • Analytical mindset with strong attention to detail.
  • Excellent communicator and highly organized
  • Strong relationship skills.


Preferred:



  • Associate or Bachelor's degree in Accounting, Finance.
  • Experience with Jamis and Unanet.
  • Experience with financial and DCAA audits
