Responsible for receiving, verifying, processing and reconciling invoices. Performs weekly payment runs.

REQUIREMENTS AND RESPONSIBILITIES:

  • Processes all aspects of the accounts payable function, including obtaining approvals for non-purchasing vendor invoices. Accurately codes and enters invoices into SAP in accordance with departmental policies and deadlines. Identifies and resolves discrepancies prior to processing.
  • Responds to vendor inquiries regarding payments via email and phone in a timely and professional manner.
  • Prepares and schedules weekly payment runs (check and ACH) for vendor invoices and internal payment requests due for payment. Submits approved payment run files to the bank.
  • Monitors vendor discounts
  • Supports Controlling in Germany with bank reconciliations by forwarding daily transaction details and a weekly Excel summary.
  • Assists in reconciling and posting monthly American Express administrative transactions.
  • Scans and attaches supporting documentation to SAP transactions.
  • Maintains organized and up-to-date Accounts Payable records and manages the AP inbox.
  • Verifies and enters vendor banking details into SAP in accordance with internal controls.
  • Assists in maintaining the vendor master database, including collecting W-9s and other required IRS documentation.
  • Monitors the daily activity of the operating checking account; saves or prints debit transactions for Bookkeeping in Germany and credit transactions for Revenue Accounting.
  • Reviews vendor invoices to identify applicable Illinois Use Tax. Prepares and reconciles monthly Use Tax reports to ensure accurate and timely reporting.
  • Promotes and models RWMIC Core Values in all interactions and responsibilities.

ADDITIONAL RESPONSIBILITIES:

  • Assists with annual financial audit preparation.
  • Assists with miscellaneous accounting tasks.
  • Aware of and complies with the RWMIC Quality Manual and regulations & requirements as they apply to this job type/position.
  • Completes all planned Quality & Compliance training within defined deadlines.
  • Other duties as assigned by the Accounting Manager

QUALIFICATIONS:

  • A.A. or A.S. in Accounting or Finance preferred.
  • 2+ years of previous accounting related experience.
  • Knowledge and understanding of standard A/P best practices, policies and regulations.
  • Knowledge of maintaining general ledgers and good bookkeeping skills.
  • Great attention to detail is necessary.
  • Ability to maintain a high level of confidentiality concerning financial and personal information.
  • Strong analytical and problem-solving skills.
  • Good verbal and written communications skills.
  • Excellent time management skills, ability to prioritize workloads and good organizational skills.
  • Proficiency in SAP is preferred
  • Good PC skills and familiarity with MS excel, word, and outlook.
  • Experience with and understanding of multi-cultural and multi-generational differences and the ability to work within this environment is crucial for successful employment.
  • The following physical demands are required:
  • Stand/Sit/Walk 8 hours per day.
