Summary:

This Facilities Operations Assistant supports the facilities Coordinator and reports to the Senior Director with the following office responsibilities. They will provide office project support for Hitachi Americas office, office maintenance, and customer service.

Facilities Operations Assistant duties to include:

Accordingly support the Senior Director and the Facilities members within the Hitachi Americas organization, including internal divisions leads and staff/visitors. This person will manage office functions involving Work Order facilities coordination, daily office and administrative operations, and coordination of supplies delivery & restocking. This individual will also be responsible for shipping and receiving / Receptionist tasks and duties. Assist Facilities Coordinator and group members with conference area layouts, including space planning for meetings. This individual will attend internal / construction meetings in order to organize and track construction progress when required. Contribute to other special tasks as assigned by Facilities Senior Director.

Responsibilities:

  • Maintenance Management: Oversee the maintenance and repair of facilities, including HVAC, plumbing, electrical systems, and general building upkeep.

  • Vendor Coordination: Manage relationships with external vendors and service providers, ensuring timely and cost-effective services.

  • Inventory Management: Maintain inventory of supplies and equipment, ordering new stock as needed.

Skills and Qualifications:

  • Strong organizational and multitasking abilities.

  • Excellent communication and interpersonal skills.

  • Knowledge of building systems and maintenance procedures.

  • Communication: Handle incoming and outgoing communications, including emails and phone calls.

  • Customer Service: Assist visitors and callers with inquiries, providing information and directing them to the appropriate person or department.

For California only (as required by California's Pay Transparency for Pay Equity Act (SB 1162): The expected hourly rate for this position in our California office is $26 per hour. Pay is determined based on a variety of factors including, but not limited to, depth of experience in the practice area. Employees are eligible to participate in Hitachi America's variable pay program, subject to the program's conditions and restrictions.
