Position Summary


The Business Services Recruitment Assistant will play a key role in supporting all stages of the recruitment, helping elevate our Business Services recruitment to be a best-in-class function. This position will support talent strategies, ensure data integrity within our tracking systems, communicate with stakeholders, and help build strong candidate pipelines for multiple business functions across all our US offices.


The ideal candidate will have excellent client relationship management skills and outstanding professional presence while balancing stakeholder and candidate relationships. They will need strong time management, organization and process driven skills while supporting multiple requisitions. This position also has a high focus on attracting and retaining top talent by providing a positive candidate experience, maintaining regular candidate communication, overseeing interview scheduling and providing feedback to each candidate in a professional and timely manner. The role requires an individual who continuously strives to cultivate a proactive recruitment process that is engaging, strategic and efficient.


Duties and Accountabilities1




  • Support various stages of the recruitment process across multiple requisitions (e.g., job postings, applications, pipelining, interviews, candidate management, offer management, agency engagement etc.)
  • Proactively identify and address recruitment challenges; provide regular updates to relevant Recruitment and Hiring Managers on requisitions aligned with specific function
  • Manage all aspects of agency engagement, including fee agreements, preferred vendor tracking, kickoff calls, and ongoing communication
  • Oversee candidate scheduling logistics, including collecting availability, coordinating with agencies, arranging interviews, and greeting candidates via Teams
  • Review candidate resumes to assess qualifications, experience, and fit for open roles
  • Collaborate with Hiring Managers, cross-function teams and key stakeholders to ensure we proactively meet their hiring needs and goals
  • Assist in generating market intelligence, develop deep expertise as a subject matter expert, and promote recruitment best practices
  • Support recruitment initiatives across the Business Services and Experienced Legal Recruitment team (e.g., branding initiatives, LinkedIn utilization and expansion, sourcing efforts, etc.)
  • Ensure ATS and recruitment reporting are accurate and proactively share data-centric updates with internal stakeholders
  • Coordinate offer-related processes across various departments, including immigration, conflicts, legal, compensation, and mobility


Qualifications




  • Minimum of one (1) year of recruitment or administrative support experience in a professional services environment
  • Strong technical skills on the following applications: Outlook, Word, Excel, PowerPoint; knowledge of Applicant Tracking Systems
  • Strong attention to detail with solid administrative and organizational skills
  • Excellent customer service and relationship-building abilities to deliver a high-quality experience for both candidates and stakeholders
  • Demonstrates a proactive, growth-oriented mindset with a willingness to take on challenges and embrace new approaches
  • Collaborative team player, committed to contributing to recruitment strategies within the Business Services and Experienced Legal Recruitment teams
  • Strong business acumen, with excellent verbal and written communication skills
  • Effective time management skills to balance multiple priorities, manage projects, and meet expectations of both candidates and hiring managers
  • Self-motivated, results-driven, and able to thrive in a fast-paced, deadline-driven environment
  • Committed to fostering a fair recruitment process and workplace
  • Flexibility to work overtime, including evenings, as required


Location and Reporting




  • This role is based in our Tampa office.
  • This role reports to the Business Services Recruitment Manager - Americas.
