West Virginia University Extension Service is currently accepting applications for a Program Coordinator - 4-H Systems Administrator.

About the Opportunity

This position provides comprehensive leadership and management for the 4-H Youth Development program's online systems and data as well as Extension reporting systems. They ensure efficient participant management, accurate program reporting and impact analysis, robust technical support and training for all users, effective digital communication, and essential support for youth protection and volunteer development, all while serving as a key liaison for technology vendors and strategic system enhancements.

What you'll do:


Systems & Vendor Management



  • Systems and Data Administration: Provides leadership and daily management for all state-level 4-HYD online systems and data, encompassing electronic participant enrollment, registration, reporting, and supporting the administration of Extension reporting platforms for spatial data management and analysis.
  • Vendor and Technology Liaison: Serves as the primary project lead and liaison with the 4-H data management system vendor and other collaborating states. Represents West Virginia on system modifications, new features, and reporting requests. Collaborates with the 4-H data management company, reporting software vendors, and the WVU Extension Office of Technology to resolve system issues in alignment with WVU policies.


Reporting, Data Integrity & Strategic Planning



  • Reporting and Data Integrity: Leads and manages reporting strategies through the 4-H data management system, assessing trends in enrollment and event participation to prepare state-wide documentation of 4-H program impacts. Ensures data integrity and accuracy by reviewing annual 4-H year reports, impact statements, key stakeholder reports, and the annual 4-H insurance policy. Generates spatial reports and maps from Extension reporting mechanisms for enhanced program visualization and impact analysis, providing data to faculty, staff, administration, and support units.
  • Strategic Planning and System Enhancement: Evaluates and assesses online system and data management needs, including the potential for integrating new Extension reporting functionalities or datasets, and recommends changes to the supervisor. Plans and develops methods and procedures for implementing appropriate online systems and data management efforts, including new Extension reporting applications or spatial data workflows. Assists in establishing program goals and assessment tools, incorporating Extension reporting metrics and spatial analysis.


Web Content, Communications & Program Support

  • Web Content and Digital Communications: Manages state-level web content development and maintenance for the 4-HYD program unit, ensuring information is up-to-date and accurate. Coordinates the 4-HYD program's event calendar online. Provides technical assistance and dissemination support for state-level 4-H communication platforms, including creating social media content to market programs and activities. Manages the 4-H Youth Development vanity email resource account.
  • Team Collaboration and Professional Development: Attends on- and off-campus meetings, representing 4-H on issues related to data management systems, web content, and digital marketing. Serves on committees, working groups, and task forces as directed. Participates in professional development sessions relevant to the position.
  • Youth Protection and Volunteer Support: Contributes as a member of the 4-HYD team responsible for volunteer and young adult youth protection vetting, including finalizing vetting components, sharing updates, supporting trainings, and reviewing requirements. Also assists with volunteer training and development by collaborating on hosting trainings and disseminating resources.

Qualifications

  • Bachelor's degree in a related field
  • A minimum of two (2) years of experience working in an administrative capacity and/or in online and data management systems.
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.
