Major Responsibilities: The Senior Accounting Clerk/Accounts Receivable is responsible for accounts receivable and membership activities including billing, membership processing, dues collection, cash application, and assisting local officers or employees with membership and dues related issues. Essential Job Functions: Responsible for the entire accounts receivable cycle, including the following specific areas: - Membership data processing.
- Dues billing to local associations.
- Maintaining accounts receivable records, monitoring balances, and applying cash receipts to accounts.
- Research and resolution of billing discrepancies.
- Collection of past due accounts receivable.
- Customer service and support.
- Assisting stakeholders including local officers, active members and retirees in matters related to dues, billing, and collection.
Specific Responsibilities: - Maintain complete knowledge of membership processing procedures and related policies and bylaws.
- Process and prepare Local Office Support submissions from local associations.
- Post daily deposits to detailed accounts receivable records.
- Maintain accuracy of accounts receivable records, investigates, and identifies variances and alerts management of delinquent accounts.
- Reconcile local accounts and collection of past due accounts.
- Maintain and update local association payroll deduction billing schedules.
- Generate reports from the membership database on regular and ad hoc basis.
- Assist in collecting backup documentation to assist in audit procedures.
- Initiate electronic collections from locals who elect direct withdrawal of cash remittance from their bank accounts using online banking system.
- Maintain and disseminate financial membership information and materials.
- Maintain membership team SOP documentation.
- Assist local officials with self-service tools to allow them to update their own demographic data into the IMS database.
- Assist with trainings and the preparation of training materials for local officers.
- Audit electronic membership files and upload data files into the membership database.
- Maintain and provide membership processing instructions and resources to local associations.
- Assist in the development of improved membership record-keeping and processing procedures.
- Assist in compiling data for financial reports and NEA transmittals.
- Prepare necessary correspondence to local associations.
- Coordinate work assignments and provide clerical/accounting support.
- Work cooperatively with other divisions to assure accuracy of membership data and files.
- Serve as a substitute for other division staff.
- Perform other related duties as required.
Qualifications: - Accounting or business courses training.
- College degree preferred; equivalent experience may be considered.
- Three to five years of accounting and accounts receivable experience
- Knowledge/experience in accounts receivable and enrollment records accounting.
- Attention to detail and extreme accuracy.
- Accurate and efficient data entry skills.
- Excellent interpersonal, verbal and writing skills
- High level of organizational and diplomatic skills.
- Working knowledge of computer financial systems, Windows applications, and data entry systems.
- Proficiency in Microsoft Office applications, especially Excel.
- Willingness to work as a team member in a fast-paced financial environment.
