Job Summary:

The Associate Project Manager (APM) works with teams to execute agency project efforts for tactics by supporting all aspects of the project life cycle from concept to delivery. The APM collaborates cross-functionally with agency departments, including Account Management, Finance, Production, Creative, Editorial, Technology, and Strategy. Whether it's creating timelines for projects, advising on the prioritization of active tasks, communicating

milestones and expectations to teams, routing work for feedback and approvals, or providing key administrative support, the only sure thing is that no day is ever the same.

Essential Functions:

  • Project Management: Understands and contributes to agency and department processes, procedures, and workflows for assigned projects.
  • Cross-Functional Collaboration: Supports and communicates with the cross-functional team by tracking and sharing the process and progress of projects.
  • Administration: Maintains a timely, detail-oriented, and accurate approach to administrative tasks.

Job Duties/Responsibilities:

Project Management:

  • Leads low-complexity, multichannel project deliverables from concept to deployment under the guidance of the brand Project Manager.
  • Follows and enforces the use of internal procedures and IPGH internal tools (WorkFront, Egnyte, and Teams) for project management.
  • Coordinates, prepares, and speaks to pertinent information for internal status meetings to provide updates or changes in project plans.
  • Follows up with documentation from internal meetings with project progress, next steps, and deliverables to ensure project timelines are met.
  • Acts as point-of-contact for project-related management and routing; accountable for accuracy, timely execution, and preparing projects.
  • Coordinates with 3rd party vendors, collaborating on timelines and identifying challenges and risks to stay on schedule.
  • Creates and socializes job numbers, enters project estimates, and runs/circulates various financial and timesheet reports.
  • Proactively escalates and suggests solutions to project-related issues to the manager.

Cross-Functional Collaboration:

  • Demonstrates understanding of and maintains relationships with different agency departments, including: Editorial, Account, Finance, Creative, Technology, and Strategy.
  • Communicates ideas and messages professionally and effectively across multiple media (e.g., verbal, written), tailored to the audience.
  • Informs team members regarding the start of new projects, upcoming deadlines, essential quality control, revisions, and next steps.
  • Proactively approach the supervisor with new ideas and suggestions for personal career growth and team efficiencies.
  • Supports new business activities as needed. * Helps and supports the training of junior team members. Administration
  • Demonstrates a detail-oriented and organized approach to daily responsibilities.
  • Completes timesheets, expenses, and all other administrative duties accurately and on time.

Experience:

MINIMUM EXPERIENCE

  • 1+ years

AREA OF EXPERTISE

  • Project Management, Production or Marketing Operations/Administration, or related field. Required
  • Any Experience in Pharmaceutical Marketing and Advertising Preferred

KNOWLEDGE, SKILLS, & ABILITIES:

* Software:

  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, Teams) or equivalent platform
  • Proficient with Adobe Acrobat.
  • Basic knowledge of project management tools (Microsoft Project, Workfront, or equivalent) is a plus, but not required.
  • Basic knowledge of financial management tools (e.g., SAP or equivalent) is a plus but not required.
  • Project management knowledge for multichannel production is a plus, but not required.
  • Basic organizational skills.
  • Strong verbal and written communication skills.
  • Basic financial aptitude.

Salary:

$57,000 to $85,000

The salary range for this position is noted within this job posting $50,000 to $57,500 Where an employee or prospective employee is paid within this range will depend on, among other factors, actual ranges for current/former employees in the subject position; market considerations; budgetary considerations; tenure and standing with the company (applicable to current employees); as well as the applicants background, pertinent experience, and qualifications.
