Job Summary

Responsible for the cataloguing and imaging of all commercial and consumer loan documentation for easy reference and retention throughout the organization. Imaging duties are comprised of the upload and scanning, organization, and ultimate quality of New Loans (commercial and installment), Recorded Mortgages, Closed Loans, Insurance policies and miscellaneous items into the Bank-Wide Imaging system. Throughout the day, this person is also responsible for internal customer service inquiries from various areas of the bank by phone, email and in person.

Essential Duties & Responsibilities

  • Physically scans and uploads loan documentation into the Imaging Software for Commercial loans, Loan Operations, Residential Lending, as well as miscellaneous items from various departments. Reviews all images for completeness and clarity, prior to being indexed under the appropriate loan or customer file and correct document type. This group serves as the initial line of defense against deterioration of our document retention framework.
  • Files all commercial loan keep documents in their respective loan files in the file room for retention for future retrieval, as necessary, while also maintaining the shredding schedule of non-keep documents.
  • Manages the collection, organization, upload/scanning and ultimate submission of Consumer Loan documents to Booking and physical retention location. For this process, this individual will:
    • Utilize Adobe Pro to separate loan documentation scans for Consumer Loans, organize, name files and upload files into CenterDoc; sending communication emails when each step of the process is completed, eventually arriving to the Booking Team
    • Audit the receipt of original consumer loan files and the prior weeks' booked loans compared to Consumer CDP loans SmartSheet, to ensure all files were accurately processed and sent to the Booking team.
    • Log and file physical loan documents for Consumer CDP, document and process original loan fees and GL tickets and original loan error document corrections.
    • Send Consumer loan files to Loan Operations for retention, after placing the recorded mortgage in the file, if applicable
    • Upload E-Recorded Mortgages to CenterDoc
  • Consumer TRIAD Loans will be uploaded to CenterDoc, after receiving an email from the Consumer Loan Processor(s), after upload, send a communication email to Loan Boarding for the loan to be booked to the core system. Assists with incoming and outgoing mail, ensuring that the incoming mail is delivered to the appropriate associate and the outgoing mail is ready for pickup at the designated times.
  • Handles consumer imaging correction requests accurately and efficiently, i.e.: removes incorrect documents, renames incorrect document types, adds/removes pages from specific documents that are incorrect, updates borrowers with correct names and/or TIN's, re-syncs any necessary documents.
  • Ensure the interest of the bank is always protected.
  • Required to report residential mortgages to the Indiana RREAL Database or the Illinois Anti-Predatory Website.

Software & Project Management

  • Special projects as assigned.

Staff Training & Development

  • Reviews procedures when they are updated, for accuracy and any errors.
  • Foster professional expertise through online courses and internal seminars to assist in career development.

Quality Controls and Workflow Optimization

  • Brings optimization ideas forward to management.
  • Recommend changes to processes, as necessary.

Regulatory Compliance

  • Understanding of loan retention regulations & requirements, as well as Centier loan policy
  • Must maintain current working knowledge of applicable regulations, standards, and statutes.
  • Responsible for adherence to all compliance programs that impact DMIA, including but not limited to, completion of all required & assigned training modules by established due dates.

Knowledge, Skills, and Abilities

  • Must have an above average level of computer knowledge, detail orientation, and the ability to move from one job to another quickly: managing multiple tasks as priorities change.
  • Strong problem-solving skills and attention to detail.
  • Strong working knowledge of loan (and ancillary) documents by cursory review for accurate indexing within the software system.
  • Must have knowledge of imaging software.
  • Results oriented as well as Service oriented.
  • Strong organizational skills, as well as effective communication
  • Must be a quick study for new tasks, procedures, software/technology.

Minimum Requirements

  • High school diploma
  • 1 year of banking or office experience.
  • Lending or imaging experience desired.
