Job Summary

Assists the Chairperson and office staff in carrying out the day-to-day administration, secretarial, and clerical tasks in the Department of Teaching and Learning.

  • Provides clerical and administrative support to the departments. Greets students, visitors, and the general public in a professional manner. Answers Departmental phone and monitors Departmental email inbox. Provides information to students regarding location of departments, courses, faculty, advisors, override and admissions. Generates certificate for STEM Math, Science Programs, and Quality Counts Cohort Program. Trains and supervises graduate assistants Federal Work Study employees in office procedures. Helps to organize and/or attend any meetings as requested. Maintains office copier/printer supplies.
  • In the absence of the Office Manager. Coordinates travel arrangements and expense reimbursements for faculty, TA's, and Doctoral Students in the absence of the Office Manager.
  • In the absence of the Office Manager, serves as an University card user for departmental transactions. Adheres to University credit card policies and procedures.
  • Collects and maintains department information, including faculty office hours, contact information and syllabi. Serves as SPOTs (course evaluation survey) Liaison for the Department. Assist with textbook adoption, attestation, and grade submission requirements.
  • Works closely with Program Leaders, Undergraduate and Graduate Program Directors, and Chairs to compile semester course offerings across multiple campuses and online platforms. Maintains course records, updates changes, and monitors classroom allocations in coordination with Space and Scheduling. Facilitates communication with the department of Teaching and Learning for special event room bookings. Provides Chairperson with necessary updates and data during registration period. Provides class permissions as necessary.
  • Provides instructions and employment information to new instructors. Creates Initial contract teaching requests forms (ICT) for new adjunct hires, informing Office Manager that ITC form has been initiated. Prepares files for Adjunct/Overload Contracts and Dual Enrollment courses based on schedule.
  • Provides support in the faculty and adjunct credentialing process that includes requesting official transcripts and CV.
Minimum Qualifications

High school diploma or GED and four (4) years office or related experience providing administrative support, or coordinating functions of an office or department; OR an equivalent combination of relevant education and/or experience.
