Job Summary:

The Department of Surgery (DOS) full-time Project Coordinator will oversee projects while aligning with project management best practices and a robust understanding of DOS goals. This position will serve as a subject matter expert and key advisor leading cross-functional project teams to execute on Departmental strategic objectives, key initiatives, and operational goals. This role involves managing timelines, tracking milestones, resolving or escalating any issues that arise, and preparing reports and presenting updates to leadership. This position plays a vital role in enhancing the Department's effectiveness and efficiency by ensuring transparent and streamlined project execution. - Serve as the subject matter expert and key advisor for special projects in the DOS, collaborating with cross-functional teams and executive leaders to develop comprehensive project plans and prioritization.
- Build and maintain productive relationships with internal and external partners.
- Provide expert guidance to teams throughout the execution of project plans, ensuring successful delivery of outcomes on schedule and within budget.
- Gather and distribute necessary data and analytics to support projects.
- Develop business intelligence tools and systems to report on key metrics, collect essential information from stakeholder meetings, and generate insightful reports and recommendations.
- Identify and implement improvements in project management processes, leading change management efforts to enhance practices continuously.
- Ensure project teams and the DOS are updated on progress by establishing effective communication channels, promoting transparency, reporting on outcomes and quality measures, and acknowledging achievements and milestones.
Communications (15%):
- Collaborate with the Communications Team to develop project-specific marketing efforts and branding, brochure, web, and newsletter content.
- Manage and maintain the DOS public-facing website ensuring accuracy, relevancy, functionality, and alignment with organizational goals, and branding and accessibility standards.
Project Coordination & Planning (50%):
- Collaborate with project teams to develop project scope, plan, deliverables, etc.
- Provide project management and coordination support, which includes oversight of all project tasks, timelines, resources, etc.
- Track the progression of ongoing projects and provide/develop reports as needed.
- Hold project teams accountable and provide support in removing barriers.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 2-3 days per week on campus and as needed for in-person meetings.

Qualifications:
|
Minimum Qualifications:
- A bachelor's degree in business, business administration, social sciences, healthcare administration, or a directly related field from an accredited institution.
- Three years of professional-level experience in an administrative, operational, or business support role in an academic, healthcare, and/or business-related environment providing extensive, diverse, and progressively responsible project coordination or management.
A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis. Applicants must meet minimum qualifications at the time of hire. Preferred Qualifications:
- Demonstrated success managing multiple enterprise projects in a complex organization.
- Prior work experience in an academic healthcare system.
- Knowledge of CU Medicine, UCH, and/or University of Colorado policies, rules and regulations, and administrative structure.
- Project management certification (e.g., PMP, Prince2).
Knowledge, Skills and Abilities:
- Exceptional attention to detail and time management skills.
- Ability to manage conflicting and changing priorities.
- Ability to communicate effectively, both in writing and orally.
- Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
- Outstanding critical thinking, problem-solving, and customer service skills.
- Highly organized, proactive, self-starter, able to work independently, prioritize tasks, and meet deadlines.
- Skilled in using project management software (e.g., Asana, ClickUp, Jira, Smartsheet).
- Experienced with Microsoft Power BI.
- Experienced in managing websites using Sitefinity.
- Familiar with QGenda.

Anticipated Pay Range:
|
The starting salary range (or hiring range) for this position has been established as $65,610-$83,456. The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level. Your total compensation goes beyond the number on your paycheck.
