The Facilities Management unit of the Division of Facilities and Services is seeking applications for a Zone Maintenance Assistant Director.

About the opportunity:

Oversight of all trades supervision for the Zone Shops and Maintenance Planning group for Facilities Management Maintenance Division on a day to day basis. This includes but is not limited to: providing leadership for planning, scheduling, supervising and inspecting the work of crews engaged in the maintenance and repair of over two billion dollars of University assets. Assists in the development of specifications for purchase of materials and equipment or for contract services. Assists in planning, estimating and maintenance cost controls of maintenance jobs. Checks maintenance projects for progress and conformance to work plans and orders, tracking time, material and equipment records and compiling detailed reports. Provide technical assistance to trades managers and support groups. Function as an informational resource to maintenance organizations in other schools, both inside and outside of the State of West Virginia.

What you'll do:



  • Oversight of all trades supervision for the Zone Shops and Maintenance Planning group for Facilities Management Maintenance Division on a day to day basis. Assists in the development of specifications for purchase of materials and equipment or for contract services. Assists in planning, estimating and maintenance cost controls of maintenance jobs. Checks maintenance projects for progress and conformance to work plans and orders, tracking time, material and equipment records and compiling detailed reports. Provide technical assistance to trades managers and support groups. Function as an informational resource to maintenance organizations in other schools, both inside and outside of the State of West Virginia.
  • Assist in developing written procedures for improving the operational functions associated with managing the maintenance services for a highly visible state facility. Improving and implementing these procedures will require a forward- looking individual who is capable of understanding the complexity and diversity of a large and dynamic organization.
  • Assist in developing models to evaluate current and future staffing levels and incorporate them into a workable, long range strategy to better support the mission of the University Master Plan for facilities.
  • Act as a liaison between maintenance staff and Facilities Management project team to ensure a level of cooperation and efficiency on all projects. Evaluate upcoming projects and determine which are to be performed by the facilities maintenance staff and those that are to be undertaken by the projects team. Ensure that scheduling and workforce issues are mutually beneficial and affect a positive impact on the total outcome of all projects.
  • Coordinates and plans action during emergency situations which may require internal and external sources. Compiles, edits and provides information through proper channels during crisis situations.
  • Maintains overall budgetary responsibility for this department.
  • Performs training and schedules divisional training for various levels of personnel on equipment as well as management technique and procedures. Acts as a team leader and motivator in setting standards, recognizing achievement, and understanding of our employees as our greatest resource. Will set the example for the department by taking advantage of available training for self-improvement and professional development. Must provide training to operations managers, engineers, project managers and other assigned personnel.
  • Interfaces with various utility providers who supply the necessary utilities to the University to ensure compliance with all applicable safety codes. Works closely with the Planning, Design and Construction unit of Facilities Management to develop long range planning for campus facilities and infrastructure projects.
  • Responsible for adhering to all Federal, State and Local regulations and guidelines.
  • Will participate in meetings and serve on committees representing Facilities Management.
  • Will be responsible to identify and resolve maintenance issues. Resolution of such issues may require meetings and correspondence with a high level of administrators and building supervisors. Strong communication and problem solving skills are required.
  • Maintains and administers the Facilities Management Preventive Maintenance program.
  • Manages sensitive issues and discipline within the department to ensure all University guidelines and regulations are followed. At times will represent the University in grievance hearings or meetings involving the resolution of conflict.
  • Work with Environmental Health Safety to ensure all building and life safety codes are enforced to ensure a safe working environment for all Facilities Management employees, and provide safe surroundings on campus for students, faculty and staff.
  • Initiates regular performance appraisals of each employee with a plan for improvement or development. Revises, reviews and develops staff job positions.

Qualifications

  • BS in Engineering or similar related field. Related experience may be considered in regard to education requirements.
  • A minimum of seven (7) years experience managing a large facilities maintenance organization.
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.

  • Availability to work extended hours, as required, in the event of emergency activities
  • Ability to travel for training or seminars
  • Demonstrated ability to control, monitor and establish effective budgets
  • Demonstrated ability to write and present professional reports
