POSITION SUMMARY:

We're looking for a highly organized and motivated Operations Project Specialist to support key initiatives and projects within our property management operations. This role plays an essential part in keeping our internal processes efficient, supporting cross-functional collaboration, and helping drive forward partnerships and improvements across our portfolio. Light administrative support is also part of this role to help ensure smooth day-to-day operations.

ESSENTIAL FUNCTIONS:



  1. Assists with planning and coordinating projects that improve operational processes across properties.
  2. Tracks milestones, deadlines, and deliverables; provide regular updates to project leads.
  3. Collaborates with departments such as marketing, maintenance, compliance, and accounting to support initiatives that enhance resident and staff experiences.
  4. Supports partnerships with vendors and technology providers by coordinating meetings, maintaining documentation, and tracking follow-up items.
  5. Helps maintain internal systems, procedures, and documentation related to property operations.
  6. Identifies process gaps and assist with the implementation of tools or workflows that improve efficiency.
  7. Contributes to onboarding new processes, tools, or vendors across teams or properties
  8. Schedules project meetings, prepare agendas, and document key takeaways and action items.
  9. Assists with internal communications, reports, and basic data entry or analysis.
  10. Supports documentation efforts including updating SOPs, guides, and project trackers.
  11. Performs additional responsibilities needed to support the team


QUALIFICATIONS:



  • 1-3 years of experience in property management, operations, or project coordination.
  • Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
  • Effective communicator with strong interpersonal and collaboration skills.
  • Proficient in utilizing business software; familiarity with property management software is a plus.
  • Self-starter with a problem-solving mindset and a passion for improving operations
  • Experience supporting property management teams or multifamily housing operations.(Preferred)
  • Understanding affordable housing or compliance-related processes is a plus.
  • Exposure to project management tools
