Job Description Summary

Responsible for the planning and execution of all on-campus visits both official and unofficial. Support the Director of Recruiting and Director of Player Personnel in all recruiting operations.

Job Description

Essential Functions:

  • Oversee all organizing, planning, and executing of all official and unofficial visits.
  • Organize, plan, and execute visits under the direction of General Manager and Director of Player Personnel
  • Communicate frequently with prospects and their families as visits approach.
  • Execute all visit needs: planning, booking, organizing, communicating, itineraries sent to recruits, schedules for coaches, support staff involvement in visits
    • Official/Unofficial visit pre/post compliance paperwork
    • Liaison to Recruiting Vendors - food, hotels, facilities, etc.
    • Liaison to all campus partners who support visits (facilities, Deacon Shop, Professors, etc)
  • Maintain an accurate and updated visit checklist
  • Coordinate pregame recruiting functions and ticket allocation
  • Assist the Director of Player Personnel with the Wake Forest admissions application process and the mid-year enrollment plan/process.
  • Manage P-Card receipts/ spending invoices- properly track and report all spending in workday/ through the business office to have invoices processed.
  • Assist with gathering all recruit information for both potential prospects and commits/signees.
  • Submit all compliance paperwork in ARMS for pre and post visits.
  • Organize all information needed for visits - time of arrival, guests, photoshoot sizes, etc.
  • Assist with submitting ARMS transcript reads to compliance / academics.
    • Assist with collecting transcripts, NCAA ID's, and transcript evaluations
    • Ensure all transcripts and evaluations are in ARMS under the recruit's profile
    • Update the Academic Sheet for the academic status of all commits and signees
  • Assist the Director of Recruiting and Assistant Director of Recruiting with how we communicate with our top recruits.
    • ABC List, Birthday Graphics, Writing List, etc.
  • Prepare recruit profile sheets for coaches prior to visits and zooms.
  • Oversee recruit visitor information for support staff and on campus staff that the recruits will meet with while on campus (Background information, parent information, Intended Major, etc.).
  • Assist with overseeing Interns - ensure they are trained on completing daily tasks, assisting

the position coaches, as well as doing tours and assisting on visits.

  • Assist the coaches with proper logging of contacts/evaluations in ARMS.
  • Special projects assigned by General Manager / Director of Player Personnel
  • Assist with class checks.
  • Meet with potential recruits and their families when they visit Wake Forest. Provide tours

of the athletic facilities and campus.

Required Education, Knowledge, Skills, Abilities:

  • Bachelor's degree.
  • Skills in prioritizing workflow and managing resources.
  • Detail oriented in coordinating activities.
  • Excellent organizational and time management skills.
  • Ability to manage and maintain confidentiality of sensitive information.
  • Ability to multi-task and demonstrate sound judgment and discretion.
  • Excellent proficiency in Windows, Word, Excel, Access, PowerPoint, Hudl, ARMS Recruiting Software, the Internet and other relevant software. Proficiency in the operation of standard office equipment.
  • Excellent written and verbal communication skills.
  • Ability to research, collect, and analyze data, compile information, and prepare reports.
  • Strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Knowledge of the University policies and procedures, or ability to acquire knowledge in a short period of time.
  • Ability to be a team player.
  • Ability to work evening and weekend hours as needed.
  • Ability to travel extensively as required.
  • Must have a clean driving history and be insurable by Wake Forest University.
