Position Summary

The University of Southern Indiana seeks applications for a Senior Administrative Assistant to provide administrative support for the Kinney College of Nursing & Health Professions Dental Clinic.

Duties/Responsibilities



  • Provide receptionist service for the Dental Clinic. Answer Dental Clinic phone and return calls from voicemail, schedule patients for appointments, and manage patient concerns.

  • Greet and check in dental clinic patients in a friendly and professional manner.

  • Collect patient payments and submit and/or store nightly deposit.

  • Prepare mail and emails of dental records to providers.

  • Stock and maintain inventory for clinic units and perform clinic inventory review.

  • Copy student clinic requirements from Trajecsys into a master spreadsheet shared with the clinic coordinators and students.

  • Assist in preparation of special events for dental students and faculty.

  • Prepare mailings and reports as requested.

  • Serve as backup for the Senior Administrative Assistant in the Dental Assisting and Hygiene Program, performing all duties for that position as needed.

Required Knowledge and Skills



  • High school diploma/GED.

  • Experience with computers, electronic mail, and Internet programs.

  • Strong written and oral communication skills.

  • Strong interpersonal, organization, and time management skills required.
  • Strong customer services skills.

  • Strong attention to detail and the ability to multi-task required. Must possess the ability to prioritize work requested from all supervisor in a timely manner.

  • Strong problem solving skills.

  • Ability to be flexible and the willingness to learn new responsibilities in a short time.

  • Ability to apply skills learned to similar activities.

  • Ability to work in a team environment and the flexibility to move from one project to another.

  • Ability to work cooperatively.

  • Ability to work with a diverse group of internal and external individuals.


Preferred Knowledge and Skills



  • Two years office experience or comparable work experience.


Regular Work Hours/Travel Requirements


  • Standard work hours are Monday through Thursday between the hours of 4:00 - 9:00 pm.
  • Hours may be adjusted for program/center coverage needs.
  • An occasional change in schedule and/or overtime may be required.
