City of Hope Orange County is transforming cancer treatment by bringing world-class expertise and specialized care closer to home. Supported by a regional network of care, our 11-acre academic cancer campus in Irvine is home to City of Hope Orange County Lennar Foundation Cancer Center, our outpatient cancer center, and Orange County's only cancer specialty hospital, opening in late 2025.

With the opening of the hospital, the full continuum of advanced cancer care-from prevention through survivorship-will be available in Orange County for the first time, eliminating the need to travel for lifesaving treatment. Seamlessly connected to our outpatient cancer center, the new clinical research hospital will feature seventy-three inpatient beds, advanced surgical suites, groundbreaking clinical trials, and holistic services such as rehabilitative therapy and spiritual care. This is not standard cancer care. This is lifesaving cancer care. This is Hope.

This role supports the Chief Operating Officer, who oversees clinical and supports service operations for our outpatient cancer center and new hospital, and the Deputy Physician-in-Chief who oversees physician operations. Located at our new campus in Irvine. We are looking for a candidate with strong communication, organization, and multi-tasking skills. This individual will play a significant role in helping both executives align their calendars with their top priorities, support agendas for critical meetings and provide well-orchestrated experiences for meetings and visitors in collaboration with assistant colleagues across the organization. Role is onsite.

The Senior Executive Assistant will be responsible for the coordination of activities (operations and planning) and ensuring timely flow of information to and from the executive office. This role is responsible for handling details of a highly confidential and critical nature and must function efficiently and effectively in a fast-paced professional environment. In this position you will have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines and organize and maintain effective administrative processes. In addition, you will be responsible for coordinating and preparing presentations, reports, and correspondence.

As a successful candidate, you will:

  • Use discretionary initiative and judgment in handling sensitive & confidential details, establishing priorities and resolving problems relating to day-to-day operations & administrative details.
  • Serve as a liaison between executives, managers & visitors as required. Researches and fulfills information requests from internal & external business contacts.
  • Resolve routine and complex inquiries and problems requiring in-depth knowledge of organizational, divisional, and departmental policies, procedures & projects in progress.
  • Use judgment in handling telephone calls & appointment requests for executive, routes to others as appropriate. Scheduling s & maintaining calendar of appointments, meetings & travel itineraries. Coordinates related arrangements. Assisting the executive in maintaining & keeping scheduled appointments, meetings, etc.
  • Independently prepares & distributes minutes of meetings. Initiates follow-up on items discussed in meetings.
  • Open, read, and prioritize incoming mail. Gathers background information for the executive to reply to issues posed in correspondence and other queries. Routes & answers all correspondence not requiring executive's attention, Initiating routine and some non-routine correspondence & memoranda. Drafts correspondence for executive's final approval.
  • Compile, compute, summarize & analyze data for special reports, planning, organizing, and prioritizing special projects.
  • Take and transcribes dictation of a complex and confidential nature.

Qualifications

Your qualifications should include:

  • Bachelor's degree preferred. Experience may substitute for minimum education requirements.
  • 5 + years of experience in administrative & secretarial support at an Executive level. Possesses high level of administrative and secretarial skills & versatility in use of PCs and related office software.
