TITLE

Recruitment and Retention Ambassador - Music

JOB SUMMARY

Strategically plans and executes recruitment and retention initiatives for undergraduate and graduate programs in the Division of Music at Texas Woman's University. This position promotes the Division's academic programs, events, and community engagement opportunities to prospective students, school districts, and external organizations. It also supports current students through community-building efforts aimed at increasing retention and fostering a vibrant and inclusive music culture. The specialist works collaboratively with Division leadership, faculty, staff, and other campus units to support enrollment and student success goals. Work is performed under general supervision, and performance is evaluated based on successful completion of assignments and outcomes achieved, in accordance with University Policies & Procedures.

ORGANIZATIONAL RELATIONSHIPS

Reports to: Director, School of the Arts & Design

Supervises: No supervisory responsibilities

ESSENTIAL DUTIES - May include, but not limited to the following:



  1. Develops a recruiting vision and implements a comprehensive recruitment plan for the Division of Music, including strategies to increase audition and enrollment numbers for all music programs.
  2. Conducts ongoing assessment of enrollment trends and evaluates the effectiveness of recruitment and retention strategies to inform continuous improvement and strategic planning.
  3. Leads the planning and execution of all audition days, including scheduling, coordinating faculty participation, arranging accompanists, recruiting and organizing student volunteers, managing audition logistics, planning parent information sessions, and ensuring a welcoming and efficient experience for all participants.
  4. Manages communication with all prospective music students in all phases of the admissions process, from initial inquiry and application submission through audition scheduling, admission decisions, scholarship offers, and enrollment.
  5. Coordinates logistics for annual Music Major for A Day (MMFAD) event, in collaboration with the faculty-led MMFAD committee.
  6. Manages all aspects of TWU presence at the annual Texas Music Educators Association (TMEA) convention, including staffing the booth, coordinating materials and displays, organizing faculty participation, promoting TWU faculty/student/alumni appearances, arranging giveaway items and promotional materials, and organizing the alumni dinner.
  7. Organizes and staffs conference booths at various regional and state music conventions, college fairs, and recruitment conferences.
  8. Builds relationships with area school districts, music educators, and community organizations to promote TWU Music programs; coordinates and facilitates school visits with faculty and student ambassadors.
  9. Collaborates with the Manager of Music Events and Operations on recruitment and marketing materials.
  10. Maintains and manages mailing lists and distribution of event invitations, including free concert ticket offers to local schools.
  11. Serves as liaison between the Division of Music and the College of Arts and Sciences Advising office.
  12. Serves as liaison between the Division of Music and the Office of Admissions.
  13. Provides support and information to prospective students regarding admissions, financial aid, scholarships, academic pathways, and student success resources.
  14. Creates and supports initiatives to foster a sense of belonging, student identity, and community within the Division of Music.
  15. Organizes the Director's Advisory Council student leadership group, including regular meetings and communication.
  16. Plans and implements student engagement events.
  17. Organizes targeted welcome events for transfer students to support a smooth transition into the Division of Music community.
  18. Serves as a liaison to music student organizations and facilitates collaboration between student leaders and faculty.
  19. Collaborates with Division leadership to develop branded merchandise to build student pride and community.
  20. Connects students with campus resources such as academic tutoring, mental health support, and career services.
  21. Cultivates relationships with alumni and professional partners to support career readiness and job placement opportunities for graduating students.

EDUCATION

Bachelor's degree required. Music degree strongly preferred.

EXPERIENCE

Experience in a college/university setting, preferably within music or performing arts programs. Familiarity with music disciplines and audition and admissions processes for music students. Experience using the Acceptd application platform or similar audition management systems. Background in marketing and event planning, including knowledge of social media and creative content development. Experience engaging with student leadership, community outreach, and student success initiatives. An equivalent combination of education and experience may be considered

REQUIREMENT

Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

  4. Skill in marketing, social media engagement, and promotional content.
  5. Strong organizational skills and attention to detail.
  6. Ability to coordinate events and work collaboratively with multiple campus partners.
  7. Ability presenting to large groups and representing TWU in a professional manner.
  8. Ability to work both independently and as part of a team.


PHYSICAL DEMANDS

The employee may be required to travel. Availability for occasional evening and weekend activities related to recruitment and retention events.
