Primary Purpose of Organizational Unit
The UNC Eshelman School of Pharmacy (www.pharmacy.unc.edu) is one of six health science schools (Pharmacy, Nursing, Dentistry, Social Work, Public Health, Medicine) at the University of North Carolina at Chapel Hill and is one of the oldest health science academic programs at Chapel Hill. The School teaches approximately 600 PharmD students and 145 graduate students. Position Summary
The position provides executive support to the Regional Associate Dean and the other faculty leaders (Director of Professional Education, Director of Rural Health and Wellness and Director of Preceptor Development) on the Asheville Campus. In this capacity, the Executive Assistant is responsible for providing calendar and email support, event planning, and office management.

In addition to overseeing the administrative functions of the Regional Associate Dean's Office, the Executive Assistant follows up to ensure that assignments / requests / commitments of the Regional Associate Dean and the Directors for projects are accurate, adequate, consistent, and completed prior to deadlines and are of high quality.

In close collaboration with the Regional Associate Dean, the Executive Assistant manages complex schedules for the Regional Associate Dean and other faculty leaders including requests for appointments, meetings, events, and travel. The incumbent is responsible for independent problem solving, answering questions, providing information and taking action on behalf of the Regional Associate Dean as authorized.

This position must analyze, prioritize, and keep track of multiple pieces of complex and often confidential information in order to make accurate, efficient recommendations regarding workflow, and provide facilitation and processing of information and verbal and written correspondence.

The Executive Assistant is the entry point for students, staff, faculty, and a variety of callers and visitors who seek time with the Regional Associate Dean. This position also provides front desk support and serves as an office manager: answers phones promptly and courteously; handles incoming and outgoing mail and shipments; maintains cleanliness of supply room, kitchen, and lobbies; orders supplies for the office; maintains office equipment; coordinates travel for visitors to the Asheville Campus; and maintains documentation and filing systems. The Executive Assistant also assists with regular and special events for the campus.

All of the above must be done with minimal errors and utmost professionalism in an office whose priorities must adapt to evolving needs and demands from within the School and with strategic partners, particularly Mission Health and MAHEC. The Executive Assistant must facilitate completion of work at a rapid pace on time-sensitive matters with routine interruptions.
Minimum Education and Experience Requirements
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Required Qualifications, Competencies, and Experience
The successful candidate must demonstrate the ability to analyze and interpret policies and guidelines, as well as detailed knowledge of administrative office work processes. The incumbent must be skillful in organizing, planning, and managing administrative activities; be able to multitask in a demanding and constantly changing environment. This position involves frequent interactions with students so exceptional communication skills (both oral and written) are well as commitment to outstanding customer service is of utmost importance. Ability to understand and uphold the confidentiality of highly sensitive information, professional demeanor, and strong commitment to quality in all activities is also required.
Preferred Qualifications, Competencies, and Experience
Administrative experience in a higher education environment is preferred. Previous exposure to business and scientific/research operations type environment is a plus.
