Diamomd Grove Center is looking for a skilled and knowledgeabe Receptionist to join out team at Diamond Grove Center.Diamond Grove Center Hospital is a premiere behavioral hospital that has been providing compassionate care to children and adolescents since 1997. Diamond Grove Center is located in the beautiful city of Louisville, Mississippi. Diamond Grove Center is a 55 bed, psychiatric behavioral health hospital that offers inpatient acute care as well as residential treatment for adolescents and intensive outpatient programs.

Receptionist at Diamond Grove Center work to provide secretarial services to the CEO, Administrative Staff, and Professional Staff.
Receptionist are responsible for completing the following duties and tasks:
- RECEIVES, ENTERS, FORMATS, EDITS, PROOFS, PRINTS and DISTRIBUTES correspondence, memos, policies, plans, reports, schedules, forms, spreadsheets, work sheets and other documents accurately, efficiently and with an attractive professional appearance.
- COMPOSES, RESEARCHES, GENERATES and DISTRIBUTES correspondence, memos, statistical reports and other documents as requested, including but not limited to daily census reports and monthly operating reports.
- ESTABLISHES and MAINTAINS efficient filing and record-keeping and assures that these systems satisfy short and long-term administrative and regulative requirements.
- COMPLETE CAM's, CLGA'S, research data, successful/accurate completion of CAM'S/CLGA'S and other contractual information, maintains ticker system and filing system to ensure items are updated/renewed before expiration date.
- COMPLETE all Credentialing and Privileging for all licensed personnel and keep all information accurate and up to date according to standards.
- SCHEDULES, COORDINATES and ARRANGES staff travel and other meetings and events as requested.
- PREPARES agendas and minutes that are concise, well-organized, complete, accurate and timely.
- COMPLETE related responsibilities for referral tracking information and promptly notifies the appropriate personnel of the arrival of admissions to the hospital.
- PROMPTLY notifies the appropriate therapeutic staff member of the arrival of a patient's family for visitation/family therapy/discharges.

RECEIVES visitors to the hospital.

PERFORMANCE STANDARDS:

- Always greet guests in a friendly and professional manner.
- Consistently conveys friendliness, poise, maturity, and promotes enthusiasm.
- Complete related responsibilities for referral tracking information and promptly notifies the appropriate personnel of the arrival of admissions to the hospital.

ROUTE all forms of communication to the various departments within the hospital.

PERFORMANCE STANDARDS:

- Promptly answers all calls to the switchboard in a friendly, pleasant voice and directs the call to the appropriate party.
- Announce pages, codes, and announcements per policy and procedures.
- Consistently takes accurate, legible messages and ensure messages are delivered to the appropriate department, party, or posted on the bulletin board.
- Receives and distributes all mail, both interoffice and external, to the appropriate recipient.

PROVIDES clerical support to other administrative clinical staff.

Qualifications

GENERAL PERFORMANCE CRITERIA

Administrative/Clerical/Trade

MINIMUM QUALIFICATIONS

1. Two (2) years secretarial experience.
2. High School diploma or equivalent.
3. Some college preferred.

PHYSICAL REQUIREMNTS:

Overall physical workload is light. Ability to communicate orally and in writing with others. Must be mobile throughout the facility and system entities to attend meeting and make rounds. No chemical exposure. Frequent sitting for long periods of time. Occasional operation of standard office equipment and computer. Frequent answering/using of telephone. Occasional conflict resolution; constant attention to multiple details. Frequent problem solving and decision making. Occasional exposure to stressful situations.
