Job Summary: IBEX IT Business Experts, LLC is seeking an Onsite Facilities Coordinator to support the Ira C. Eaker Center for Maxwell AFB, AL. The Onsite Facilities Coordinator will provide Project management support to the Eaker Center COR associated with the daily operation of the EAKER center properties, inspection, maintenance, repairs, and cleanliness for the health and safety of the EAKER Center staff, and faculty, students, and distinguished visitors. Minimum Qualifications:

Required Experience:
- Minimum three years of s specialized project coordinator experience Student Services Support
- Minimum 3 three years of experience in customer service
- Proficient with the following: Microsoft Word, Microsoft Excel, Microsoft PowerPoint and Microsoft Outlook (or similar), Learning Management Systems (e.g., Blackboard, Canvas, etc.,)
- Knowledge of Air Force and DOD terminology, rank structure, and processes requirements; the incumbent of this position must achieve the appropriate cyber awareness and CSL training to fulfill assigned duties.
Responsibilities: The Onsite Facilities Coordinator shall perform all requirements in outline and conform to the professional standards identified to ensure continuity of knowledge of task(s) progression.
- Onsite Facilities Coordinator are responsible for but not limited to the daily fluid operations of Eaker Center properties for the health and safety of Eaker Center staff, faculty, students, and distinguished visitors.
- Conduct two site visits per building twice a week.
- Submit work orders and 332s for repairs on Eaker Center facilities to ensure Maxwell's Base Civil Engineering completes work order requests in a timely manner for an end result of zero mission stoppage.
- Inspect Eaker buildings to make sure they are cleaned properly on a daily basis; if not, contact the custodian supervisor/crew to ensure the cleaning issue is remedied.
- Contact Base Civil Engineering approved contractors for estimates for potential projects, analyze information, and present facts to leadership. Once a vendor has been chosen by leadership, coordinate the start date, oversee the project until completion, then contact the appropriate GPC Card Holder vendor's payment.
- Manage the key program in accordance with Civil Engineering directives by assigning keys to staff and guests as needed. Collect keys during the out processing of staff.
- Coordinator for the keyless entry door system at BLDG 1404 for authorized instructors, staff, distinguished visitors, and students via their Common Access Card (CAC).
- Inspect Fire Extinguishers in each building once a month to ensure they are ready for use in an emergency.
- Manage all facility-related supplies. Reordering / fulfilling facility supply requests from Eaker Center personnel in coordination with the (GPC) card holder.
- Coordinate with CSS regarding facility cleanness.
- Create, laminate, and post signs throughout buildings as needed. Add/change bulletin board material in the Eaker buildings as needed
- Place stanchions in the parking for DV parking as needed for events and courses.
- Coordinate with the grounds crew to ensure the grounds are maintained properly.
- Organize furniture moves for different schools within Eaker Center.
- Visit DRMO to find furniture items that staff are in need of for their office/section.
- Coordinate volunteer days to accomplish cleaning, painting projects, and DRMO runs.
- Coordinate transportation support vehicles as needed for staff.
- Appointed Eaker Mule vehicle manger
- Monitor what task has been assigned to which inmate, inspect task work for completion, report results to assigned COR or assigned inmate supervisor
- Provide administrative support only to assigned COR
- Include contract support milestones in a monthly report to COR
- COR will continue to maintain all roles and responsibilities assigned by the Contracting Officer
- Provide program management support over Eaker Center projects
- Upon presentation of the desired outcome, define and clarify the project scope
- Develop the project plan
- Develop the project schedule
- Provide options for policies and procedures to support the achievement of the project objectives; the organizational structure of the project team; identify roles and positions
- Implement Project Manager Direction and coordinate activities across different organizational functions
- Define project baselines, track progress, and provide project status reporting
- Provide complete Program Management for all current and future Eaker buildings at Maxwell AFB and Gunter Annex
- Performs inspections of Eaker facilities at least twice per week; directs repairs & corrections
- Submits paperwork (AF Form 332), emails, or telephone calls for improvements to the Civil Engineering work order desk
- Maintains Microsoft Excel spreadsheet of repair requests and tracks status of repairs through repair/project completion
- Performs general inspection of Eaker facilities (exterior and interior), including services performed by janitorial staff, & notifies COR of discrepancies (which also includes notifying the COR of the need to restock supplies, repair custodian-related equipment, and replace broken custodian instruments/tools)
- Provides Eaker personnel access to the facility via Eaker's electronic door lock system; removes departing Eaker personnel from the door lock system
- Manages the door lock schedule for holidays, AETC family days, down days, adjusted class schedules, and abbreviated work days as directed
- Coordinates with COR in determining the need to have the door lock system maintained, repaired, and/or serviced
- Conducts fire inspections of Eaker facilities in conjunction with the Eaker Safety Program Manager and the Maxwell Fire Department; maintains a record of fire inspections
- Ensures fire exit lights, signs, & markings are posted as necessary
- Manages the Eaker vehicle control program and coordinates with 42 LRS for changes/procedures regarding the vehicle control program
- Assists in monitoring Eaker's assigned inmates; strictly follows all Bureau of Prisons rules and regulations, assigns work to the inmates, oversees inmates' performance/project completion, provides information to the COR, and provides required initial briefings as well as recurring vehicle safety training to Eaker's inmates
- Adheres to and follows Eaker and Maxwell 42 CES processes for the Facility Manager Program
Work Environment: This job requires work to be completed in an office setting using standard office equipment. The employee must occasionally lift or move office products and supplies, up to 50 pounds. Appearance: All personnel shall be attired in business casual clothing for daily work. Attire worn should always ensure employees safety from working conditions (long pants, appropriate shirts and close toe shoes as required): on occasion, staff may be required to wear a business dress for certain activities. Physical requirements of this program include:
- Climbing. Ascending or descending ladders, stairs, ramps, and the like, using feet and legs and/or hands and arms
- Balancing. Maintaining body equilibrium to prevent falling and walking, standing or crouching on flat roofs (accessed by emergency doors and climbing ladders)
- Stooping. Bending body downward and forward by bending spine at the waist; requires full motion of the lower extremities and back muscles
- Kneeling. Bending legs at knee to come to a rest on knee or knees
- Crouching. Bending the body downward and forward by bending leg and spine
- Reaching. Extending hand(s) and arm(s) in any direction
- Walking. Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another
- Pushing. Using upper extremities to press against something with steady force in order to thrust forward, downward or outward
- Pulling. Using upper extremities to exert force in order to draw, haul or tug objects in a sustained motion
- Lifting. Raising objects weighing up to 40 lbs from a lower to a higher position or moving objects horizontally from position-to-position. This factor is important if it occurs to a considerable degree and requires substantial use of upper extremities and back muscles
- Grasping. Applying pressure to an object with the fingers and palm
- Talking. Expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly
- Hearing. Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make the discriminations in sound
- Seeing. Having close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects and small parts. Having the visual acuity, licensing, and physical ability to operate motor vehicles. Having the visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned or to make general observations of facilities or structures
- Adapting. Activities occur inside and outside; work occurs in both environmental conditions.
- Provide a monthly report to the COR that summarizes duties completed, contractor metrics, and projected work. Report will be no later than the 5th day of the following completed month.
