Job Summary

Processes vendor invoices, maintains files, receives and routes incoming phone calls, and greets visitors. Follows appropriate guidelines for these functions.

Hours: Monday-Friday 10:00 a.m. - 3:00 p.m.

Responsibilities:

Greet visitors in a professional manner

Provide visitors with information and direct them accordingly

Answer phone calls and direct callers to the appropriate party

Process, sort, and route incoming and outgoing mail

Monitor and manage inventory of office supplies; order and distribute office supplies as necessary

Coordinate and schedule appointments and meetings

Processes vendor invoices for payment

Maintains vendor invoice files

Processes and distributes daily operations reports

Assists with accounting reconciliation process

Perform other administrative support tasks, including updating and sorting files, drafting and proofreading correspondence, and conducting research

Other Functions

Maintains the housekeeping and sanitation standards of the distribution center.

Performs other duties as assigned or requested.

Performance and Conduct Standards

Performs duties at or above productivity and accuracy standards;

Supports the company goals for quality and continuous improvement;

Contributes to an atmosphere of teamwork and cooperation among all distribution center staff.

Working Environment

Office environment and may occasionally need to enter warehouse.

The distribution center is a warehouse for the storage and distribution of dental, medical and veterinary supplies and equipment. In general, the building's primary work area consists of pallet storage racking, roller storage and small item storage shelving. The facility uses powered conveyor systems for the transportation of products. Pallet jacks and forklifts are used for palletized products. Some positions require use of safety equipment, which is provided as needed.

Job Qualifications

Education/Training & Skills

High school diploma or general education degree (GED) required, associate's degree preferred but not required

1+ years of relevant experience in an office setting, preferably in an administrative or clerical role

Excellent organizational skills, ability to prioritize, and comfortable working independently

Exceptional oral and written communication skills, including strong spelling, grammar, and punctuation

Must be committed to providing outstanding customer service and demonstrate strong interpersonal skills

Strong attention to detail

Proficient computer skills and ability to operate general office equipment

Proficient in Microsoft Office Suite required, SAP ECC EWM preferred
